Citigroup Senior Executive Assistant to CEP Chief Risk Officer in Dublin, Ireland

Team/Role Overview

Experienced Senior Executive Assistant to provide administrative support to the CEP Chief Risk Officer.

We have an excellent opportunity available for an experienced Senior Executive Assistant to join our Risk team in Dublin. The role will include a large amount of senior level interaction and liaison at C-Suite / Board level as well as regular contact with senior management both within Citi globally and externally. The successful candidate will have the opportunity to work in a leading European banking institution, within a great team of 100+ Risk professionals in Dublin, in a collaborative and friendly atmosphere.

The CEP Risk Management Department is responsible for the holistic second line management of risk across all business lines and locations of the Bank. CEP is the main EU licenced banking entity for Citi in EMEA. It is headquartered in Dublin, with branches in 21 countries. Given its size and systemic importance, CEP is considered a “Significant Institution” and regulated by the European Central Bank in Frankfurt and the Central Bank of Ireland.

What you’ll do

Directly support the Chief Risk Officer / Member of the CEP Executive Committee. Will also provide support to Risk Function Heads (Managing Directors / Directors).

  • Screen calls / incoming mail / meeting requests – be an effective gatekeeper; help prioritise competing time demands; take messages efficiently and accurately, routing appropriately where possible.

  • Proactive maintenance of Executive’s calendar, including senior meetings with local / regional / global management and with external stakeholders / Board members. This involves working closely with other Dublin, London and globally based Senior Executive Assistants.

  • Act as key point of contact for the Risk Department both locally and internationally. This is an important role in representing the Department and involves establishing a strong presence and network throughout the company.

  • Arrange senior visits - arrange meetings internally and externally, including venue, catering, agenda, packs, attendees, briefings.

  • Co-ordinate the management of internal meetings, including team meetings, through effective organisation of dates, venues, minutes and distribution of information. Record and track action items to conclusion.

  • Organise travel arrangements using initiative in managing itinerary preferences, times and costings. Prepare and process associated travel expenses, and resolve queries, in a timely manner.

  • Prepare internal / external presentations, correspondence, newsletters, announcements using PowerPoint and other MS Office tools.

  • Perform Office Manager duties for Risk Department such as dealing with facilities issues, ordering IT equipment, maintaining stationery supplies and on-boarding new joiners.

  • Act as Continuity of Business and Records Management Officer for the department, coordinating and ensuring compliance with company policy and processes.

  • Trains, coaches or guides other administrative staff. Provide backup support if required.

  • Assisting with the planning / co-ordination of team off-sites / team building / events.

What we’ll need from you

  • Previous office administration experience preferably within a large and complex financial services or similar organisation.

  • Highly proficient in Microsoft Office.

  • Consistently demonstrates clear and concise written and verbal communication skills.

  • Demonstrated ability to quickly gain command of new systems.

  • Self-motivated and detail oriented.

  • Bachelor's/University degree or equivalent experience.
