Position Summary

In order to fully function and support the clients of the MSU Law Clinic, the Clinic is seeking a highly motivated, self-driven individual to perform important day-to-day tasks for the Clinic as well as grow the Clinic’s public facing platforms and assist with faculty projects as they arise. The Coordinator will be the initial contact with the Clinic for all clients and potential clients, as well as those who come to visit the Clinic in the Law College. They will work with confidential client information as well as confidential student data and maintain a high attention to detail. The Clinic is a closely connected team that values public service, and this position will be a part of that team.

  • This position requires a valid vehicle operator’s license to perform duties of this position.

  • This position is grant funded for a two-year contract. The college intends to obtain additional funding for an extension of the initial contact period, but future funding is not guaranteed.

DUTIES AND RESPONSIBILITIES

  • Interaction with the public and clinic clients

  • All front desk duties, including but not limited to answering phones, providing referrals, and assisting with client needs.

  • Coordinating 4-5 clinic events per year, including the planning, publicity, organization and food for the event. Events involve both students and external stakeholders with approximately 25-50 attendees. May include remote attendees.

  • Work as the point of contact for the Institute for Continuing Legal Education (ICLE) for the Law College. This includes, but not limited to, setting up new accounts and submitting online book requests.

  • Office Administration

  • Manage both electronic and paper filings in case files and using the CLIO case management system.

  • Handling travel arrangements for both clinic faculty and students, including conference and event registration.

  • Assist in developing and implementing policies and procedures for general office operations.

  • Perform various clerical duties including filing documents, data entry, photocopying, and scanning inventory and maintaining office supplies.

  • Processing incoming and outgoing mail, which may include daily trips to the East Lansing Post Office to check the Clinic’s P.O. Box for court documents, a responsibility shared with the Office Manager.

  • Maintain the clinic calendars for Client Intake Room schedules as well as parking spots and other clinical space coordination.

  • Assist with collecting student clinic hours, which is required by the American Bar Association for accreditation and sending those reports to their respective clinic director.

  • Assist clinic faculty with various projects as assigned, including clinic-specific community outreach and research projects.

  • Assist with collecting benchmarking data regarding clinic operations from the Big 10 law schools and Wayne State University Law School.

  • Communication

  • Increase and improve both external and internal communications about the Clinic and its successes.

  • Assist with weekly social media posts by working directly with clinic faculty to identify areas and issues to highlight.

  • Draft monthly emails with Clinic updates for approval to distribute to faculty and staff.

  • Develop a Clinic newsletter to be distributed once a semester both internally and externally.

  • Work with the Law College communication team to ensure seamless promotion of Clinic successes.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; six months to one year of related and progressively more responsible or expansive work experience in customer service or in performing tasks related to the area of employment; or an equivalent combination of education and experience.

Desired Qualifications

  • Bachelor’s degree from an accredited higher educational institution.

  • Strong written and verbal communication skills.

  • The position requires or will require prior to completion of the probationary period: knowledge of basic personal computer terminology and operations, and ability to use e-mail and the Internet.

  • Familiarity with the Clio case management system.

  • Ability to use the Microsoft Office Suite.

  • Familiarity with the Concur travel system.

  • Familiarity with social media and newsletter development and design.

  • Ability to work on a strict deadline.

  • Understanding of legal systems, both state and federal.
