Qualifications

  • Bilingual- 100% English/100 % Spanish - Required
  • Previous experience as an Administrative Assistant, Accounting or in a similar position
  • Familiarity with standard office equipment such as printers and fax machines
  • Excellent computer skills and knowledge of Quickbooks, Microsoft Word, , Outlook, and PowerPoint
  • Highly organized with excellent time management skills and the ability to prioritize projects
Responsibilities
  • As a Administrative Manager, you will be managing the day-to-day runnings of the company, including scheduling staff members, handling performance reviews, and maintaining excellent records and reports
  • You will also be working each day to build and strengthen relationships with new and existing clients, address any minor and major client issues, and overall foster a strong work environment, provide support to our office employees, ensuring they have all the information and resources they need to perform their best
  • Your responsibilities will include , make and corroborate employees payroll, reconciling bank records, drafting financial documents, evaluate financial budgets and track expenses, answering phone calls, scheduling appointments, planning meetings, and writing correspondence
  • Make Employees Payroll and OTR Drivers Payroll
  • Make and corroborate Clients Payments
  • Reconciling bank records
  • Evaluate financial budgets and track expenses
  • Answer incoming phone calls and route them to the appropriate person
  • Draft and report financial presentations
  • Reconcile financial books including incoming and outgoing funds
  • Schedule appointments and maintain calendar
  • Organize meetings and take accurate minutes
  • Write emails, memos, and letters and distribute them appropriately
  • Contribute to company reports
  • Maintain an organized filing system
  • Develop, update, and maintain relevant office procedures
