Position Description:

Provide direction required to manage the day-to-day business operations of all Texas Tech Health El Paso clinics including planning, outcomes and quality. Responsible for the development and maintenance of systems to maximize operational productivity and continuous evaluation of business operations of health clinic, ancillary and patient support areas. Additionally, has significant responsibility for quality improvement and regulatory compliance activities. This position will provide leadership and guidance to front office operations including all Clinic Managers.

Major/Essential Functions:

  • Responsible and accountable for the day-to-day front office operations of Texas Tech Health El Paso ambulatory clinics. Provide direct supervision to the clinic managers, supervisors and other clinical operations staff as directed.

  • Partner with the senior leadership to establish, track and monitor performance expectations, provide timely communication updates and delegate related tasks / assignments as appropriate.

  • Assist with defining and documenting performance and productivity standards; identifying and tracking effectiveness; and developing business processes and metrics.

  • Identify and participate in continuous quality and service improvement initiatives working closely with the Quality Improvement Director.

  • Participate in policy/protocol development and implementation alongside the Director(s) of Nursing. Ensure updates are communicated in a timely manner.

  • Ensure clinical employee workflows are standardized, and clinical competency checklists are completed in accordance with required deadlines. Review and identify opportunities for clinical staff improvement and/or training gaps. Establish new workflows or modify as necessary.

  • Assist with or conduct audits to ensure the delivery of quality patient care. Conduct and monitor internal department audits. Monitor productivity goals for the team and identify opportunities for improvement.

  • Anticipate and identify areas of potential compliance vulnerability and risk. Work with appropriate personnel to develop and implement corrective action plans. Track and monitor improvement.

  • Oversee health information technology applications, including but not limited to, the Electronic Health Record (EHR) and related training. Lead orientation, onboarding and departmental training for new employees. Create, distribute and present instructional materials (instructor-led, trainee guides, graphics, tutorials, references, tests, presentations, etc.). Monitor and track staff completion and competency.

  • Oversee human resources activities in collaboration with the medical clinic managers and supervisors, and HR. Ensure all personnel policies, processes and procedures set forth by TTUHSC El Paso and the TTUS are followed; conduct annual performance reviews; serve as primary recruitment and hiring liaise for clinical operations; identify employee performance gaps and make recommendations for performance improvement. Lead performance management of staff, including and up to termination, in conjunction with HR.

  • Cultivate relationships with cross-functional operational stakeholders and partners across the clinical enterprise and TTUHSC El Paso, to support and enhance team skills and performance.

  • Adhere to all policies, procedures and processes. (Regents Rules, TTUS, HSECEP OPs, etc.).

  • Personally demonstrate, display and act in accordance with TTUHSC EP's Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value's leader while actively promoting and encouraging staff across the institution.

Preferred Qualifications:

  • Proficiency in Athena and Cerner.

  • Experience managing multi-site ambulatory clinics.

  • Experience in an academic medicine/health sciences center setting.

  • Familiarity with TTUHSC El Paso operating policies.
