SNOW COLLEGE Administrative Assistant in EPHRAIM, Utah

Description

The Office Assistant will perform a variety of administrative tasks, including answering the phone, assisting with maintenance requests, college motor pool, public surplus, mail courier, and maintaining electronic and paper files. The ideal candidate is organized, detail-oriented, and capable of working both independently and as part of a team.

Qualifications
  • Education: Associates degree required
  • Experience: Previous experience in an administrative or office support role is preferred.
  • Physical:  need to able to squat, bend and lift minimum of 50 pounds
  • Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Proficiency in Canvas 
    • Experience with maintenance programs
    • Excellent communication skills, both verbal and written.
    • Strong organizational and time-management skills.
    • Ability to multitask and prioritize tasks effectively.
    • Attention to detail and accuracy.
    • Customer service-oriented with a professional demeanor.
Major Responsibilities/Duties
  • Administrative Support:
    • Answer and direct phone calls, take messages, and respond to inquiries.
    • Greet and assist visitors, ensuring a welcoming and professional environment.
    • Manage incoming and outgoing mail, including sorting and distributing, 
    • Assist in the preparation of reports, presentations, and documents.
  • Office Management:
    • Organize and maintain filing systems, both electronic and physical.
    • Prepare motor pool key packets for drivers
    • Manage employee training and certification records
    • Complete Annual Campus Key Audit
    • Manage SDS binders
  • Clerical Tasks:
    • Data entry and updating databases and records.
    • Assist with basic bookkeeping tasks, such expense tracking.
    • Record and file motor pool billing forms
    • Post surplus items on the Public Surplus site
    • Assign maintenance requests to appropriate managers
  • Special Projects:
    • Support team members with various projects and initiatives.
    • Participate in the organization and execution of company events or activities.
    • Clean motor pool vehicles when extra help is needed.
    • Help as needed with mail courier between Richfield and Ephraim campus
