Position Title:  Human Resources Assistant

Position Type:  Full-Time

Location:  Hybrid - Youngstown, OH or Murrysville, PA

Position Summary

The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the organization's human resource department.  The Human Resources Assistant provides recruiting and general HR support which includes employee file maintenance, phone interviews and related communications, managing online database and paperwork and upholding company policies and best practices.  This role works closely with the Human Resources Director to coordinate new employee paperwork and related follow-up including onboarding and offboarding processes and other HR related tasks.  This position requires close contact and working relationships at all levels of the organization. 

 

The Human Resources Assistant may have knowledge of confidential organizational information and must protect it as such.  Some independent judgment is required to plan, prioritize, and organize diversified workload.  Must possess excellent organizational skills, a good knowledge of company policies, and federal/state employment practices and regulations. 

Essential Functions

 

  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to the HR Director.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Provides clerical support to the HR department.
  • Conducts or assists with new hire orientation.
  • Conducts or assists with off boarding. 
  • Communicates with new hires prior to orientation and provides any necessary forms, directions, and information to ensure a positive new hire experience.
  • Assists HR Director with the ongoing administrative and onboarding of new hires to include organizing, scheduling, and ensuring all new hires have completed the required paperwork in Bamboo HR prior to start date. 
  • Assists in pre-screening and background checks of applicants.
  • Assists with the Affirmative Action Plan. 
  • Assists with planning and execution of special events such as benefits enrollment, trainings, and organization-wide meetings. 
  • Ensure compliance with federal, state, and local employment laws, regulations, and company policies. 
  • Performs other duties as assigned.

Required Education and Experience

  • Associate's degree in human resources or related field and/or equivalent experience. 
  • At least 1 - 2 years of relevant human resources experience.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team. 
  • Working understanding of human resource principles, practices, and procedures.
  • Excellent time management skills with ability to meet deadlines.  
  • Proficient with Microsoft Office Suite, Adobe, scanning, electronic files, HRIS administration (Bamboo HR preferred). 
  • Professional demeanor and discretion are essential to the success of this position.
  • This position requires travel, less than 20% of the time.  Travel will be mixed, local and outside the local area and overnight.
