KEY RESPONSIBILITIES:

  1. Serves as a central resource to plan, document and deconflict leadership participation, commitments, and deliverables in support of running the business.

  2. Works closely with multiple organizations including other Midstream Organizations, Commercial & Business Development, Clean Products Value Chain, Human Resources, and Finance & Accounting to collect information and help resolve conflicts associated with these key responsibilities.

  3. Maintains proper flow of communications to executive leaders and staff. Synthesizes multiple department reports to create summarized, executive level content for sharing with broader components of the organization. Drafts executive’s general correspondence, frequently on own initiative.

  4. Interacts in a professional manner with internal and external contacts through written, electronic, telephone and face-to-face communication; directs contacts and inquiries to appropriate leadership team member.

  5. Coordinates routine business processes and special projects including but not limited to:

  • Monthly and Quarterly business review content creation and distribution

  • Leadership team calendar scheduling and conflict resolution

  • Coordination of annual extended leadership team meetings

  • Ad-hoc analysis in support of decision-making

  • Ad-hoc report generation from corporate systems

  • Coordinate and schedule annual visits to MPL sites

  • Weekly business unit updates

  1. Manages and deconflicts executive’s calendar and appointments; provides executive with related material; maintains current itinerary on a daily, weekly, and monthly basis.

  2. Coordinates travel for MPL Executive Leadership Team and produces an associated itinerary of events as well as processes Concur business expense reports (BER) as needed.

  3. Schedule meetings and conference rooms along with any audio visual, catering, name plates, meeting materials, etc. for department events.

  4. Orders and maintains department office supplies, distribute mail, maintain copier paper supplies, and ink cartridges, and completes other department administrative support tasks as requested.

  5. Manage records storage, records retention, and hold orders for the departments supported in accordance with MPC records management policies.

  6. Occasionally work outside normal business hours to assist with event preparation and facilitation as well as offer support during emergent situations (last-minute schedule changes, emergency events, etc.).

  7. Collaborates with Administrative Assistants and any other employees as needed to support MPL goals and initiatives.

  8. Other duties as assigned.

    EDUCATION AND EXPERIENCE:

  • High School Diploma or equivalent is required.

  • Strong computer proficiency including Microsoft Office Suite is required.

  • Three to 10+ relevant work experience or Bachelors degree is preferred.

    SKILLS

  • Must be able to prioritize and deliver a wide range of routine and non-routine tasks simultaneously to meet deadlines

  • Strong attention to detail and accuracy

  • Ability to perform data analysis for delivery of insights

  • Self-motivated with demonstrated strong time management skills

  • Experience in planning and coordinating group functions

  • Excellent verbal and written communication skills

  • Ability to learn and use simple audio-visual software for Weekly What & While production

  • Ability to work with confidential information

  • Effective in establishing and maintaining positive working relationships with individuals both inside and outside of the company.

  • Ability to work collaboratively and as part of a team.

  • Familiarity with Share Point Online, Concur Expense, and Workday and Workforce systems a plus

  • Familiarity with SAP a plus
