Job Description

The Theater & Public Events Coordinator, Senior position is an important member of the College of Arts & Letters (CAL) Auditoria team. This position will work closely with the Auditoria Operations Manager and Technical Director(s). They will provide event support and oversight for three large-scale performance venues at NAU (Ardrey Auditorium, Kitt Recital Hall and Ashurst Auditorium). The individual in this position will be expected to manage and organize a high-volume event calendar for CAL. They will also provide operational and administrative support by creating annual performance calendars, managing contracts, overseeing scheduling, compiling budgets, hiring student staff, and liaising with future customers and the public.

Event Logistics (Scheduling, Billing, & Rental Agreements) - 60%

  • Responsible for scheduling events for Ardrey Auditorium, Kitt Recital Hall and Ashurst Auditorium for the university and outside organization\'s events.
  • Coordinates facility rental requests between customers, NAU Departments, and Auditoria Management, including monitoring each venues availability and discussing with leadership conflicts of venue needs.
  • Coordinates with customers to determine schedule, event specifics and technical requirements for each event.
  • Responsible for understanding and explaining safety requirements of venue locations to customers.
  • Upon event conclusion, responsible for providing invoices, IDTs and processes payment for venue rental to customers, may include following up on any billing concerns.
  • Analyzes and anticipates event needs and preemptively places solutions in order to prevent issues during events.

Customer Service & Public Relations - 25%

  • Provides information to faculty, staff, and outside organizations regarding facility use and capabilities.
  • Responds to public requests of venue information and provides information to the public on event access and logistics.
  • Represents the department & all supported venues in event coordination meetings.
  • Attends high profile events (approximately 1 night/month) to ensure the smooth execution of complex event needs.
  • Maintains direct contact and may act as a liaison with personnel from the various outside organizations and university departments associated with scheduled events.

Staff Oversight - 10%

  • Responsible for recruitment, hiring and onboarding of new student employees and part-time temps.
  • Ensures adequate staffing for events, including managing the schedules of technical, stage, and other student crews.
  • Aids in the training of house crew for event preparation, set up, and tear-down.
  • Oversees hourly employee timesheet approval and reconciles NAU timesheet entry records for billing purposes.

Other - 5%

  • Other duties as assigned.

Minimum Qualifications

  • Bachelors degree.
  • 3-5 years of relevant experience.
  • A combination of related education, experience, and training may be used as an equivalent to the above Minimum Requirements.

Preferred Qualifications

  • Experience working in or with public events or concerts.

  • Knowledge of event planning tools, processes, and policies.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Skill in planning, organizing, coordinating, and facilitating employee training.
