Description

The Supply and Inventory Specialist performs a variety of continuing inventory management tasks requiring analytical judgment, procedural, and technical skills. The individual is responsible for researching and purchasing parts and supplies for the technicians. In addition, they will make certain that inventory levels are optimal; working with vendors to assure necessary parts are readily available, ensuring inventory control programs are strictly adhered to, and the parts rooms is maintained to department standards.

The ideal candidate has a background in accurate and efficient record-keeping and verification of inventory changes including a broad knowledge of typical inventory processes and procedures. Must have a strong understanding of the relationship between inventory transactions and balances and their impact of the financial records. We are looking for someone who is self-motivated and hands-on, has attention to detail and accuracy in the performance of documentation and data preparation, dynamic ability to get things done, but is able to get along with, and gain the respect of, a wide variety of people, work well in a fast paced environment and work well under pressure.

Duties and Responsibilities

  • Issues parts/supplies to technicians and county employees; creates work order documents; manually pre-picks stock items from multi-level racking, in advance of issuance to Technicians; completes all necessary paperwork and computer work orders for parts and supplies issued.

  • Follows up with technicians to assure minimal downtime due to parts and supply needs and delivery schedules are met.

  • Organizes and maintains stock room and inventory to include housekeeping and security; maintains labeling system on each stock item; manually stocks inventory shelving with stock items received or returned to insure parts are put into bins and are properly numbered. Verify incoming shipments for appropriate quantity and quality.

  • Adds parts and supplies to work orders, review work orders for completeness and accuracy by paper and computer database system.

  • Monitors all invoices and credits for accurate pricing, including warranty items.

  • Uses parts manuals and various resources to research specialty items for vehicles, heavy-duty trucks, and off-road equipment.

  • Makes necessary trips to vendors to pick up and drop off parts and supplies.

  • Performs weekly cycle counts and conducts physical inventory audits.

  • Performs a variety of general clerical duties including data entry and maintaining files and records.

  • Maintains cleanliness and organization of the stock room; performs routine housekeeping duties in the parts room, shop and work area.

  • Performs routine janitorial duties; i.e. trash removal, restroom cleaning, floor sweeping, mopping, dusting, supply replenishment.

  • May assist in other areas of the vehicle maintenance shop as needed.

  • Performs additional tasks as required by manager or supervisor.

Education, Experience, Licensing

  • Requires any combination of education and experience equivalent to graduation from High School or GED and six months of increasingly responsible experience in storekeeping or related work involving the selection, purchasing, storage, and issuing of a variety of vehicle/equipment parts and supplies, or closely related experience.

  • Possession of a valid driver's license with an acceptable driving record is required.

Supplemental Information

  • Mechanical knowledge of vehicle or heavy equipment parts, maintenance, and repairs is necessary to be able to understand the technician’s needs.

  • Ability to effectively utilize parts manuals and manufacturers' build sheets.

  • Strong computer skills; including Microsoft Office, email, and Internet.

  • Strong oral and written communication skills.

  • Attention to detail and high level of accuracy.

  • Effective organizational and time management skills.

  • Self-motivated; capable of working independently

  • Excellent interpersonal skills.

  • Ability to work one-on-one with individuals, both in-person and over the phone.

  • Operate bar code scanners.

  • Highly organized and ability to multitask and deal with frequent interruptions.

  • Ability to work well under pressure.

  • Ability to lift 80 pounds.

  • Workdays and hours are Monday through Friday, 11:00 am to 8:00 pm, and rotational Saturdays. Must be able to workevenings, weekends, holidays, and overtime as needed. Must be able to work flexible hours in emergency situations.
