Job Description
Technical Development Operations and Logistics Coordinator
This role ensures Technical Development operational and logistics activities run smoothly and efficiently, in collaboration with leaders and administrative colleagues across the organization. The role involves planning, organizing, and managing activities related to technical vendors and suppliers, and will report to a member of the Technical Development Leadership Team. More specifically, the incumbent will manage onboarding of new vendors, manage and maintain current vendor agreements, create, track, invoice, and reconcile purchase orders, and ensure timely processing of payments. This role will also be responsible for streamlining day-to-day operational processes, which includes problem solving, troubleshooting, data analysis and reporting, and cost control.
Key Responsibilities:
Correspond directly with vendors/suppliers and manage suppliers including supplier set-up, routing to legal/intellectual properties, review and approval process, and upload to internal systems.
Process work and purchase orders with external vendors using internal systems, and ensure timely processing of documents and payments, including creation, tracking, invoicing, and reconciliation. Resolve issues with processing and payments.
Proactively track the progress of purchase orders and apply problem solving skills as necessary to ensure purchase orders are fulfilled.
May liaise with vendors and suppliers to negotiate contracts and secure timely deliveries and address logistical and operational challenges such as delays.
Maintain positive relationships with partners to ensure smooth operations.
Handle general customer service inquiries and route questions to appropriate resources within Gilead.
Work with vendors to ensure that product order issues are addressed, and orders are processed correctly and quickly.
Maintains records and generates reports through customer service database.
May provide training or guidance to staff.
Research and resolve customer claims, when applicable.
Serve as Subject Matter Expert in processing work orders and support staff, as needed.
Prioritize workload involving multiple projects/timelines.
Manage contract workers’ process using online legal, procurement and sourcing app.
Create draft reports, documents, presentations, and templates using raw data.
Ensure compliance with company policies and regulations.
May monitor key performance indicators for logistics and operations, and analyze data to improve efficiency, reduce cost, and optimize cost.
Requirements
Associate's degree with 2+ years of relevant experience; or high school diploma and 3+ years of relevant experience.
Two or more years as an administrative assistant is preferred.
Skills specializing in customer services.
Expert level use of systems and software programs such as SAP software, MS Office suite, MS Teams, MS SharePoint.
Develops solutions to a variety of routine and non-routine problems, with analytical mindset for process improvements.
Demonstrates good organizational skills and verbal and written communication skills.
Able to spend majority of time working independently using well-defined and established procedures.
The salary range for this position is: $107,270.00 - $138,820.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package.
