Responsibilities for Project Administrator
We are looking for a project administrator who administratively supports 3 local executives, acts as a site coordinator for the local technology team, coordinates project activities, manages schedules, and ensures project deliverables are completed on time and within a small budget. They break projects into tasks, aligns resources to support, and provides updates and escalations to key stakeholders. As a site coordinator, will be required to assist with planning local events, expected to be a heavy contributor to the local culture crew. Provides administrative or technical support at a specialist level to include managing executive calendars, planning travel, and filing expenses. Incumbents are highly proficient in a broad range of activities related to their job. May be asked to support summer internships, college career fairs, onboarding of new hires, etc. May act as a lead or mentor to more junior project and administrative support personnel.
Responsibilities
Handles Executive Administrative tasks to include: drafting correspondence, calendaring meetings, making copies, answering and screening phone calls, directing inquiries to the proper team, planning travel, and expense management
Proactively anticipates meeting preparation, including scheduling prep meetings, requesting meeting materials, briefing docs,
Schedules, arranges, and facilitates executive meetings, recording decisions, and managing tasks
Providing back up assistance to other administrative support team members as needed and collaborate with other executive administrators to provide coverage during PTO
Handling minute-taking during meetings, following up on actions/tasked assigned to individuals, and reporting on progress
Site Support and Venue Management: Organizes meeting venues, local support of visiting executives, and supports physical site
Shares responsibility for local office management support to include purchases, ordering of office supplies, etc.
Drafts correspondence, develops and updates complex PowerPoint presentations, Excel spreadsheets and other documents as needed
Creates, manages, and updates routine monthly reports such as organizational charts, KPI reporting, and drafts monthly business review decks
Exudes professionalism and discretion with highly confidential information
Establishes and maintains effective and cooperative professional business relationships with all levels of management, employees, and outside clients
Serves as a first point of contact for executives; prioritizes executive’s time; and streamlines work
Supports team projects
Assists HR University Relations team and IT Intern management team for career fairs and onboarding and managing summer interns
Support projects as needed for the executives such as employee rewards programs,
Desired experience for executive administrator includes:
Experienced senior executive level office management
Ability to work independently and deal with confidential materials in an appropriate manner
Diplomacy, reliability, dependability and patience to support this highly diverse group of business professionals
Demonstrate ability to plan and organize large-scale meetings
Demonstrate ability to effectively communicate with C-suite client contacts
Create, prepare and organize presentation materials—research, write content, edit ideas
Ability to multitask and work independently with little guidance and to recognize and respond to business related issues in a professional manner
Ability to analyze relevant alternatives, create rational recommendations and implement positive outcomes
Ability to deal with clients in a professional and courteous manner, and to develop and leverage professional working relationships both internally and externally
Minimum Qualifications
High School plus some post-secondary
7+ years of related experience
Preferred Qualifications
Associate or bachelor’s degree
Prior EA experience
Prior experience supporting Technology Teams
10+ years of related experience

Office location in Frisco, TX
Must work in office 4 days per week
