Job Description:

The College of Dentistry, Office of Clinic Administration is recruiting for a Administrative Assistant I. This position provides both clerical and non-clerical support to the Office of Clinic Administration.

Support of Patient Registration: Aid the Patient Registration area with management of patient check in, questions, phone calls, college switchboard etc. This includes learning all aspects of the operations in this area from axium usage to scanning as well as collecting and documenting PHI Accurately enter insurance information, identification, and obtain signatures for consent forms. Professionally answer calls from patients and internal personnel. Maintain cleanliness and order of your area including the lobby. Comply with safety and security requirements for this area at all times.

Support predoctoral dental lab case manager (Teaching Specialist I): Process electronic dental lab prescriptions and prepare the dental laboratory cases for transport to the external dental lab. Manage receiving of completed dental lab cases, and prepare cases for transportation back to the proper predoctoral dental clinic. Accurately complete actions associated with the dental laboratory processes in the patient management system. Communicate professionally with prescribing provider (faculty supervisor) and/or dental lab as needed to clarify details of prescription orders. Dispense denture teeth and implant parts as ordered within the patient management system. Comply with safety and security requirements for this area at all times.

Support the Office of Clinic Administration: Manage incoming calls and walk-in inquiries when the administrative assistant is not available. Manage the clinical dean’s schedule as needed. Provide support with copier/facsimile and other office equipment. Comply with safety and security requirements for this area at all times.

Other duties as assigned.

Expected Salary:

$16.80 per hour

Minimum Requirements:

High school diploma or equivalent and one year of relevant experience.

Preferred Qualifications:

Knowledge:

  • Working knowledge of University of Florida, State University System, and government agencies

  • Knowledge of effective office procedures

Skills:

  • Skilled in preparing correspondence and reports using a personal computer

Abilities:

  • Ability to deal with the public in a courteous and tactful manner

  • Ability to communicate effectively, verbally and in writing

  • Ability to establish and maintain effective working relationships

  • Ability to follow verbal and written instructions
