About the Role & Team

Disney Publishing is seeking an Executive Assistant to join the team. You would be a crucial part of the world’s top children’s publishing brand selling products in 45 languages in over 70 countries around the world.

The Executive Assistant must demonstrate strong interpersonal skills with the ability to anticipate needs, take initiative, prioritize, meet deadlines, and be resourceful and flexible, while maintaining absolute professionalism and confidentiality. It goes without saying that there will be expense reports, travel planning, text messages, and endless calendar jockeying, but this job is very much about people. The relationship you form with the executive you support is absolutely critical, because that’s what enables you to become a true partner. In addition to understanding your executive’s business needs, you will also need to understand the leadership and workings of the Disney Experiences segment, Disney Consumer Products and Publishing organizations, and of related departments across the entire Disney enterprise. As the face of your executive within The Walt Disney Company, your professionalism, loyalty and attitude are a reflection of the office, and as such, are a key component to its success.

This role reports to the Vice President, Disney Publishing.

What You Will Do

  • Perform administrative duties including, but not limited to, screening and routing phone calls, managing calendars, processing invoices, scheduling meetings requiring significant coordination and follow up, and ensuring timely and effective communications

  • Prepare expense reports and ensure they are submitted in a timely manner

  • Prepare for meetings including setup for large presentations/video conferences with multiple sites

  • Manage the planning, coordination, and execution of business travel, including trip logistics and itinerary, meeting coordination, and remote support of when executive is out of the office

  • Interface directly with other senior executives, their support teams and external organizations – your ability to work well with people on all levels is a very important part of your job

  • Handle extremely confidential, sensitive information, remembering that Disney is a publicly traded company

  • Draft letters and emails on behalf of your leader

  • Provide additional office support such as ordering supplies and processing purchase orders

  • Coordinate department off-sites and events as needed

  • Assist with any special projects and other related duties as needed

Required Qualifications & Skills

  • At least three years’ experience supporting an executive

  • Sharp written and verbal communication skills

  • Desire to immerse yourself fully and learn your executive’s business

  • Ability to multi-task and prioritize deadlines

  • Strong proficiency with all types of computers, phones and office equipment, including Microsoft Office programs, Concur, and both Windows and Apple environments

  • Excellent presentation skills with an ability to utilize PowerPoint and Keynote

  • A calm head and steady hand to deal with the unexpected

  • Complete reliability handling confidential, often highly sensitive information

  • Desire to truly be helpful to your leaders and co-workers, to go the extra mile without being asked

  • Some flexibility in your schedule – we value work/life balance, but in a pinch, a bit more time is needed

  • Very strong organizational skills and extreme attention to detail

  • A highly professional demeanor, positive outlook and a can-do attitude

  • Ability to lift boxes up to 25 lbs.

Preferred Qualifications

  • Experience at The Walt Disney Company

  • Experience working in a large public corporation

  • Good knowledge of current technology trends

Education

  • Required: High school diploma

  • Preferred: BA/BS or equivalent

The hiring range for this position in Glendale, California is $60,400 to $80,900 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
