Summary This position is located in the Rocky Mountain Healthcare Network, HRM VISN 19 Office, Glendale CO. The incumbent is delegated full authority and responsibility within a wide scope of administrative functions. The duties are in support of management with the intent of accomplishing administrative requirements of the Associate Director HR Operations (ADHR Operations); thereby contributing to the efficient and effective accomplishment of the objectives of the overall HRM Operations Office Responsibilities Provides administrative correspondence coordination covering a variety of subjects of an administrative nature, both internal and external. Maintains control of action correspondence; performs follow-up action to ensure timely reply/action. Responds personally to non-technical but substantive requests for information involving agency programs and functions, project assignments, internal procedures and relationships and current work status Serves as the primary timekeeper for clinical and quality staff members and will be primarily responsible for the preparation of bi-monthly timesheets. Ensures new hires have appropriate equipment, office materials, computer access and keys to function in their new roles. Coordinates and arranges travel and schedule utilizing the required VHA travel program. Supports functions related to the recruitment of staff and ongoing administrative responsibilities required to support these staff Develops internal administrative standard operating procedures by researching prior publications, regulations, and recommending new policies and/or changes Receives and logs outgoing correspondence, reviewing it for correct format, punctuation, spelling, grammatical accuracy, factual correctness, enclosures, dates, signatures, complete addresses, etc. Work Schedule: Monday-Friday 8:00am-4:30pm Compressed/Flexible: Available Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/16/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Preferred Experience: Timekeeping, meeting coordination and Microsoft Office applications to include PowerPoint and Excel. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of the organization's mission and operating programs, support organizations and functions, and specific techniques and analysis, to promote efficiency and effectiveness of the assigned area of responsibility. Skill in analyzing problems to frame the issue, formulating alternatives to resolve and presenting recommended solutions. Ability to choose, interpret, adapt, and apply pertinent guidelines. Experience with various computer software programs. Knowledge of terminology to the organization; i.e., agency and installation acronyms and jargon, as well as administrative HR and other such terminology. Knowledge of various forms and formats required to complete administrative requirements. Skill in using various devices such as personal computer, and various devices such as printers and using a standard keyboard. Skills of a fully qualified typist. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers of books. No special physical demands are required to perform the work.
