Trinity Health Control Desk Coordinator - Radiology Administration - Part Time in Grand Rapids, Michigan

Description:

Part- time Working front desk receptionist and working back desk patient support. Rotating 1 holiday per year and every 8th weekend.

Shift Details:

20 hours per week - 9 and 12 hour long shifts - Every 6th weekend required and 1 holiday per year - primary start times 7 and 8am.

Position Summary:

Provides day-to-day support for the Radiology Department. Responsible for greeting patients, collecting appropriate information and scanning documents to the patients’ medical record. Enters orders and makes sure that all requirements for examination and charges are met. Facilitates the timely and efficient flow of patient and medical information for five modalities. Interacts with hospitals, patients, and physician office personnel, greets and directs vendors and others as appropriate. Gathers necessary information for future patients to assist with a workflow. Trained to assess patients’ needs while waiting in Radiology for their exam or transport. Will assist with the transportation of patients to facilitate a smooth workflow. Maintains patients' electronic medical record when requests are made for reports, CD, or film images.

Education

Minimum: High School graduate or equivalent.

Credentials/Licensure

Minimum: Certification or re-certification in Cardio Pulmonary Resuscitation (CPR) within three months of hire.

Related Experience

Minimum: One year of clerical and patient work related experience or vast knowledge of hospital setting.

Preferred: Previous experience with managing an office setting or care of patients

Other Knowledge, Skills and Abilities

Minimum Effective written and verbal communication and customer service skills. Ability to deal with people of different ages, backgrounds, and educational levels. Effective problem solving skills. Ability to work in a high volume department while remaining organized and composed. Basic knowledge of computers/applications.

Preferred: Knowledge of medical terminology preferred.

Physical/Mental

Minimum Frequent reaching, standing, walking, sitting, bending, twisting, and kneeling. Able to carry, pull, and push up to 35 lbs. unassisted and over 35 lbs. with assistance, in accordance with our safe lift policy. Ability to perform detailed tasks and work with interruptions and changing priorities. Has the ability to hear speech, distinguish sounds, speak loudly and softly, and utilize near/far vision, fine motor skills, manual dexterity, depth perception.

Essential Functions:

  •  Appropriately greets patients, confirms patient information, visit notifies, processes all required paperwork and scans appropriate documents, generates communication orders, and prepares patient appropriately for exam. Monitors flow of patients through department, notifying patients and key staff of delays or changes in work assignments for five different modalities.

  •  Verifies physician orders, clinical information, and supporting documentation. Calls patient to verify appointment.

  •  Follows established protocols and guidelines in coordinating the scheduling of a wide variety of exams, both future and same day. Collects necessary information from physician offices and nursing units for completion of exams.

  •  Digitizes, prints and/or packages films, reprints, digital CD’s, and reports for distribution/delivery to Patients, physician offices, hospital departments, and medical staff. Pulls list of scheduled patients for the various departments; pulls all necessary jackets/reports for upcoming procedures and digitizes pertinent studies accordingly.

  •  Monitors patients in the Radiology department pre and post exam time. Responds to patients as appropriate and checks on their needs. Understands how to call Priority One or Code when intervention is necessary.

  •  Coordinates work assignments for Orderlies for seven areas, monitoring patients and patient flow and transports when necessary to expedite care of patients, or to respond to STAT situations.

  •  Responsible for training all new secretaries and maintaining office efficiency while keeping the department clean and organized.

  •  Performs numerous clerical duties for the department, including, but not limited to printing schedules, writing up folders, locating reports/patient films, ordering examinations and supplies, assembling charts, taking phone messages, routing calls, setting up appointments for add-on procedures and emergent patients, and calling in wet reads to physician offices.

  •  Works on requisitions to verify for coders that all accounts are correct and that the signs/symptoms and doctor’s signature are easily located on doctor’s order. When information is inaccurate, calls doctor’s office to receive correct information via fax or otherwise.

  •  Assures quality patient care by promoting effective communication and teamwork through the organization.

  •  Effectively uses available resources to provide a more complete and personally satisfying experience for all customers.

  •  Demonstrates knowledge and skills necessary to provide care appropriate to the needs of the age group served.

  •  Performs other duties as assigned.
