Nespresso, a leader in the premium coffee industry, is seeking an enthusiastic and detail-oriented Event Coordinator to join our team.

What will you do?

  • Plan, organize, coordinate, and direct special events, act as main event liaison.

  • Determine staffing needs for special events, working with lead, DM and RSM input & secure staff, working with agency.

  • Attend events, as required. Be flex back up, for sick calls, for these events.

  • Customer Marketing support would include things like coordinating project tasks and activities, reporting cross-functional task follow-up, project coordination, research, working with Trade marketing contact.

  • Ensure seamless presentation and positive Nespresso brand experience.

  • Create and manage the work back schedules for events.

  • Schedule and own any applicable comms or meetings, pre and post event.

  • Reporting, budget and KPI tracking.

  • Risk assessments, compliance management.

  • Any IT requirements, iPad ordering, tracking, TAP trouble shootings.

  • Own post event post-mortem.

  • Own sourcing and tracking of inventory monitoring of swag/giveaways/event kits and exhibit assets, Coffee Supplies, machines, other as needed to support our self-service event asset portal and various customer marketing and event activities.

  • Responsible for onsite event set up and tear down.

  • Address any issue that may arise and will remain on site after the event is over to ensure proper clean up.

How will you succeed?

  • Strong communication skills – to be able to communicate the event plan, strategy, and objectives.

  • Monitor delivery of goods with regular follow up.

  • Develop and control budgets on a program or event basis.

  • Work with lead, to negotiate and contract with vendors for a variety of goods and services related to special event planning.

  • Ensure brand protection and proper food safety execution.

  • Strong planning strategies and follows ups.

  • Ensuring company standards and policy are upheld.

Experience and Qualifications

To be hired as a special event coordinator requires a hospitality management degree, although a degree in marketing, advertising, or business management or any other relevant field or its equivalent may also be accepted to get into this career.

  • Minimum of 1-year special event planning or related work experience or related schooling.

  • Project management; with strict timeline accountability.

  • Ability to remain in budget, with assigned budgets for events.

  • Strong communication skills – written and verbal.

  • Strong negotiation, leadership, and planning skills.

  • Ability to multi-task, remain calm and work under pressure in a fast-paced environment.

  • Strong computer skills and proficiency in word processing, database management, spreadsheet applications.

  • Attention to details and good problem-solving skills.

  • Some experience working with retail trade staff, and managing, supervising, and providing orientation to people on events, luxury brands an asset.

  • Strong initiative and customer service orientation.

  • Strong interpersonal skills and ability to deal with a diverse type of people.

  • Excellent organizational, project management, excel, teams, SharePoint, time management skills and ability to cope with limited resources, seize opportunities and think creatively.

  • Ability to work effectively as part of a team.

  • Ability to work independently, taking initiative.

  • Demonstrated consistent high energy level and flexibility, pleasant persona coupled with sound judgment; flexible, discreet, and ability to maintain confidential information; knowledge of correct protocol for specific situations.

  • Experience and comfort in facilitating group meetings and keeping members accountable to tasks and work back schedules.
