JOB SUMMARY

The position involves performing moderately difficult clerical work involving a variety of tasks requiring some independent work decisions within established policies requiring familiarity with terminology. Work involves performing secretarial duties for one or more individuals where shorthand skills are not required. The variety of work differs among positions, but where the work is repetitive; there is an added responsibility for finality of action. Work may involve providing training and guidance to new employees and acting as a lead worker over routine clerical operation.

ESSENTIAL JOB FUNCTIONS

  • Keeps complex filing system: sets up, organizes, and maintains files; sorts, classifies and files materials; removes and returns material requested from files.
  • Checks documents for proper coding, classification, and arithmetic accuracy; determines compliance with procedures; posts information from documents to control records.
  • Receives, opens, logs, sorts, time-stamps and distributes mail; prepares material for mailing.
  • Provides internal and external customer service via phone, email and in person; responds to inquiries, takes messages, and refers inquiries to the most appropriate parties.
  • Compiles, tabulates and summarizes data from a variety of sources in accordance with specific instructions or procedures.
  • Operates standard office equipment.
  • Performs work at assigned location during specified business hours.
  • Performs related additional duties as required and assigned.
  • Processes, receives, enters data obtained from Voter Registration applications.
  • Maintains proper voter registration lists.
  • Receives and distributes appropriate candidate filing documents to prospective candidates.
  • Maintains contact with organizations providing space for polling places and looks for possible alternate sites for polls.
  • Hires, trains and coordinates all Election Judges.
  • Maintains appropriate candidate filing, campaign committee and ethics information.
  • Hires, trains and coordinates Nursing Home and Hospital Teams that will travel to local facilities to provide a voting opportunity.
  • Hires, trains and coordinates Receiving, Certification/Verification and Absentee Teams.
  • Processing paperwork and assists with the swearing in of Notary Publics.
  • Prepares and oversees delivery and retrieval of supplies and equipment to and from the polls.
  • Tracks and secures all ballots.
  • Supervises the return of ballots on election night.
