Bay Welding Services, Inc. Position: Office Receptionist / Administrator Pay Scale: $25 - 30/hr Employment Type: Full-Time

Job Description:

The role of the Office Receptionist is responsible for providing administrative support to the team and being the first point of contact for customers. There is a wide range of responsibilities from general office administration to customer interactions to project billing. This position requires an individual to be organized, reliable, detail-oriented, and able to give and receive concise information. This role requires an emphasis on friendly professionalism as this is our customers first interaction with the business. A positive attitude, consistency, and ability to work as a team is vital for company culture and morale.

The role of the Office Administrator is a crucial role in maintaining administrative efficiency, effectiveness, and cohesiveness. This role acts as support to the Executive and Management Team and has a wide range of responsibilities from general office administration to customer interactions, project billing, and assisting with contract management. This role is expected to have a thorough understanding of Bay Weldings administrative needs and can develop systems that help organize the company towards its goals. This role requires the individual to be organized, flexible, reliable, detail-oriented, and able to give and receive concise information. A positive attitude, consistency, and ability to work as a team is vital for company culture and morale. The ideal candidate will have the following technical abilities:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
  • Strong typing and data entry skills with a high level of accuracy.
  • Ability to manage contracts, which include:
    • Interpreting contract details for customers and internal production users.
    • Change Order updates and estimating
    • Organizing parts lists / Purchase Requests for contracts
  • Strong ability to develop systems and processes to help a growing team operate efficiently.
  • Understanding of boat parts, equipment, and terminology.

**The ideal candidate will begin in the Receptionist position, which is a high exposure position that is a great launching pad. This position will shadow a coworker for their training. Ideally, this employee will move into the administrator role to support the Executive and Management team with a heavy emphasis on assisting with contract management.
