We actively encourage applications and/or nominations of persons of color, women, veterans, persons with disabilities and other individuals.KCTCS is an equal opportunity employer and educational institution.POSITION DESCRIPTIONThe primary purpose of the full time Administrative Assistant III is to provide support for the Vice President for Academic Affairs (VPAA) involving a wide variety of administrative functions for which the assistant assumes a lead responsibility as the delegate of the VPAA.MAJOR RESPONSIBILITIES1.Manage administrative functions on behalf of the VPAA. Respond to issues and concerns that affect Academic Affairs.2.Prepare course schedule in conjunction with Division Chairs and VPAA. Manage and monitor PeopleSoft data entry of Hopkinsville Community College course offerings that are entered by division assistants.3.Prepare payroll documents for adjunct faculty, Division Chairs, Program Coordinators, and internal full time faculty overloads. Have a working knowledge of Human Resources rules and regulations regarding hiring and payroll. Follow up with new faculty and adjunct faculty documentation and interface with Human Resource and Payroll staff.4.Record minutes of Academic Leadership Team meetings and prepare for approval.5.Monitor Academic Affairs adjunct budget for fall, spring, and summer terms. Assist with monitoring Perkins requests for technical program current needs. Request budget transfers throughout the year to keep budget current.6.Assist in processing adjunct application packets and obtaining appropriate signatures for credentialing, as required by SACSCOC requirements.7.Maintain and organize academic calendar in coordination with VPAA and Division Chairs.8.Provide support to division assistants.9.Working with the Distance Learning Coordinator, provide support for the learning management system related to course setup, student access, and general troubleshooting.10.Plan and implement major academic events and support institutional events as needed.11.Collaborate with Institutional Effectiveness on data collection efforts.12.Assist with high level, confidential materials related to Academic Affairs.13.Perform other duties and responsibilities as assigned.MINIMUM REQUIREMENTS1.Associate degree and three years related work experience, or equivalent.2.Demonstrated excellent customer service skills/soft skills.3.Demonstrated attention to detail.4.Demonstrated excellent organizational skills, and the ability to multi-task in an open office environment and respond to issues and concerns that affect the department.5.Discretion in handling high level, confidential materials related to the department.6.Demonstrated excellent written and oral communication skills.7.Demonstrated excellent database and computer skills.
