Position Summary
An administrative assistant provides support to ensure efficient operation of an office or department. They perform various administrative tasks, including answering phones, organizing files, attendance, reports, updating documents and information, scheduling appointments, and maintaining office supplies. They also handle correspondence, assist with project management, and coordinate meetings and events. Strong organizational and communication skills are essential for this role. Posted position does not allow for sponsorship or relocation support.
Essential Responsibilities
Duties include general clerical, reception, project-based work, and to project a professional company image through in-person, email, and phone interaction.
Answer telephones and emails, transfer to appropriate staff member
Take detailed phone messages and forward to appropriate staff member
Create and modify documents with MS Office tools
Perform general clerical duties to include, but not be limited to the following: photocopying, faxing, emailing and filing
Order office and shop supplies as needed
Coordinate and maintain key records of office personnel, such as cell phone number and company credit card numbers
Set-up and coordinate meeting spaces and attendee list as may be required
Support staff in assigned project-based work
Set-up accommodations for company visitors
Support the development and updating of QC/QA metrics.
Set-up accommodations for company visitors
Build relationships with various internal customers throughout the company; including the QC team, engineering, project management, manufacturing management and shop personnel.
Regular interaction with: QA Manager, QC Lead, QC Inspectors, Engineering, Project Management, Manufacturing Management, Shop Personnel and Purchasing.
Ability to work and interact with all levels of the organization.
Ability to effectively write, speak and generally communicate to engage employees, management, and others in a productive and credible manner
Exemplify a professional demeanor as well as a demonstrated commitment to continuous improvement of processes.
Ability to prioritize and manage multiple tasks simultaneously.
Demonstrate a sense of urgency along with action-oriented work ethic.

Upload Labor hours for project budgets.
Maintain KPI power point and department reports for weekly operations meeting.
Communicate the necessary completion of the incomplete documentation with the responsible departments or disciplines and keep a log to check progress.
Check and verify hard copy documentation is completed and filed electronically
Update QC Board with updates and changes for real time accuracy.
Update project status in P6
Daily attendance activities (approving time, PTO approval, maintaining schedules, etc.)
Minimum Qualifications
High School Diploma or equivalent
0-2 years of previous clerical service
Skills, Abilities & Other Requirements
Computer skills.
Oral and written communication skills
Interpersonal skills.
Ability to understand and follow directions.
Working & Environmental Conditions
Working Conditions
Temperature controlled working environment. Some outside activities may be required.
This position may travel out-of-town to attend training and meetings.
Typical office environment: may experience minor discomfort from extensive use of a computer display and keyboard; travel between buildings on campus and between campuses.
Physical Requirements
Maintaining body equilibrium and agility to prevent falling when walking, standing, crouching, ascending or descending stairs.
Sitting, standing and walking for long periods of time.
Typing, punching or applying pressure to an object with fingers and palm.
