American Heart Association Event Planning Coordinator in Irving, Texas

We’re hiring an Event Planning Coordinator in Dallas, TX.

Is this role, you will perform complex administrative support and technical and logistical event program work for our Dallas and Fort Worth events. Work involves disseminating information, maintaining filing systems, and event vendor coordination. Works under general supervision with a strong latitude for the use of initiative and resourcefulness.

This is an office-based position that offers a hybrid schedule. The office is in Irving, TX. This position reports to Senior Event Planning Director.

Responsibilities

Some of the responsibilities include:

  • Expense tracking and management.

  • Invoice coordination & contract processing.

  • Event timeline management.

  • Supply ordering and tracking management.

  • Assistance in coordination and communication with event staff.

  • All pre-event vendor orders and confirmations.

  • Day of event vendor point of contact.

  • Event photographer booking, management, shot list, and photo uploads.

  • Management and organization of vendor database.

  • Day of event assistance to the Senior Event Planner Director.

  • Event décor inventory management.

  • Assistance in all meeting preparation.

  • Other duties as assigned by the Senior Event Planning Director.

Qualifications

  • High School Diploma or equivalent.

  • 3 years of experience in event coordination, including management, implementation and execution of events ranging from 250 - 1000+ people.

  • Strong passion for events with acute attention to details and ability to handle multiple projects simultaneously.

  • Desire for autonomy with strong time management and prioritization skills.

  • Knowledge of Canva and Adobe Creative Suite is a plus.

  • Intermediate to advance knowledge in Microsoft Office applications, including Excel, Outlook, PowerPoint, and Word. These skills are subject to testing.

  • Ability to travel the DFW area regularly to attend events and errands related to events; always requires access to reliable transportation on an immediate basis.

  • Ability to lift and/or move large objects (such as boxes) with the expectation that heavier items would be broken down into smaller components or requesting assistance may be required before lifting and/or moving.
