The Project Management Office (PMO) within Cornell Information Technologies (CIT) has stewardship oversight for IT-related projects per the standards of the university's IT Governance process. The PMO's scope includes requests for adding, changing, or retiring administrative IT applications or related services, capital and non-capital projects for the university's systems of record and systems of engagement, and custom website and application development.


What you will do:

As an individual contributor and member of the Project Management Office, under the leadership of the Assistant Director for the projects assigned, and to the Director of Digital Innovation and Strategy as the head of the unit, this position is responsible for supporting various projects that will vary in size and complexity and will reflect the diversity of activity within the organization. They will primarily be focused on project coordination, project tracking needs and overall supporting their Project Managers for the projects they are assigned to.


This IT Project Coordinator will specifically be responsible for:

  • Project Documentation Coordination - Ensuring project repositories are kept fully up to date and ensuring all related project files are in the repository.
  • Task Tracking & Monitoring- Documenting and ensuring all tasks across all projects are on track, kept current and resolve to closure. Work with assigned project resources to collect task statuses, keeping the central project task tracking current and escalating when tasks are behind.
  • Communication Tracking - Ensuring project communications go out as planned, supporting the Project Manager with information distribution as requested.
  • Meeting Coordination - Leading collection of project meeting agendas, meeting notes and ensuring any actions, decisions and issues are moved over to their respective project logs.
  • Scope Documentation & Coordination - Assisting Project Managers in scope documentation and scope tracking, reaching out to customers and project resources for clarity as needed .
  • Project Status Tracking Support - Assisting Project Managers in the tracking of project overall statuses and prepping reports as requested.
  • Risk Tracking - Tracking of the project risk log, ensuring risks are kept up to date and monitored.
  • Quality Tracking & Control - Assisting project manager with quality planning, control and testing, often assigned as the project testing lead to coordinate testing activities .
  • Project Manager Back-up - Providing back-up to assigned Project Managers as needed when Project Managers are out or unable to be at a particular meeting.
  • Back-up - Providing back-up as needed for Project Managers and IT Governance roles including tracking and management of the IT Governance mailbox and application.

What you will be:

You possess a strong service orientation and are someone who has an ability to prioritize multiple high-level tasks and to utilize sound judgment.


Additionally, you will have:

  • Bachelor's or minimum of 2-4 years of experience or equivalent combination of education and experience, with a wide variety of acceptable fields
  • Experience supporting projects and/or project managers.
  • Experience utilizing project management tools, such as Google Docs, Teams, Slack, JIRA, or similar.
  • Experience with standard computer productivity tools is required.
  • Strong written and oral communication skills. Analytical and problem-solving skills and ability to translate between customers and technical resources is essential.
  • Proven experience in working within a team environment and establishing collaborative customer relationships.
  • Proven experience working in a fast paced, deadline driven, complex, and rapidly changing environment.
  • Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.
  • Passionate about working in an organization that values and promotes diversity, equity, inclusion, anti-racism, and wellbeing.

Preferably it would be beneficial if you had the following:

  • Coursework and certification in project management methodology including a familiarity with the Project Management Book of Knowledge (PMBOK).
  • Experience utilizing a structured software system lifecycle implementation methodology.
  • Experience in user experience research and web accessibility best practices.
