U.S. Marine Corps ADMINISTRATIVE ASSISTANT NF-02 RFT (LOCAL COMMUTING AREA ONLY) in Iwakuni, Japan

Summary Marine Corps Community Services (MCCS) is looking for the best and brightest to join our Team! Responsibilities Provides administrative and clerical support to the Education and Career Services program office. This position performs a variety of responsible administrative and clerical duties requiring judgement, experience, and attention to detail. This position will require IT-II 'Privileged' Level to access the DMDC TAP system. Records Transition session attendance in DoDTAP system. The Administrative Assistant serves as the initial point of contact for the program, greeting clients and gathering brief personal data to assist in identifying immediacy of need and scheduling appointments. Receives clients and provides warm hand off to appropriate service provider. Screens incoming telephone calls, determining those which can be answered, and those which must be referred. Schedules clients for classes and individual appointments and provides reminder/ follow up communication to clients. Arranges and maintains appointment calendars for staff. Operates a personal computer (PC) and peripheral equipment to produce a variety of civilian and military correspondence, spreadsheets, charts, reports and graphs, using a wide variety of software programs. Enters data, produces a variety of correspondence, reports and recaps. Drafts/ proofreads complex correspondence in accordance with applicable guidelines and Naval Correspondence Manual. Responsible for correct spelling, punctuation, and proofreading of typed materials. Establishes and maintains subject matter files and records. Collects data and compiles administrative reports on a daily, weekly, monthly, quarterly, semi-annual and annual basis. Coordinates Marketing requests, maintenance requests, and installation visit requests for visiting facilitators, and annual and quarterly training calendar development and publication. Makes arrangements for meetings including space and time, and notifies those who are to attend of the topics to be discussed. Takes meeting notes and prepares detailed or summary meeting notes for meetings. May arrange travel and transportation and assist with preparation of travel requests and documents as directed. May be designated as Government Purchase Cardholder and assist with procurement of supplies and equipment. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs may be required. Requirements Conditions of Employment See Duties and Qualifications EVALUATIONS: Qualifications MINIMUM QUALIFICATIONS: 1. Minimum one year experience in the performance of clerical duties such as typing, filing, record keeping, multi-line phone coverage, etc. Excellent oral and written communications skills. Must obtain a Tier 3 background investigation / IT-II 'Privileged' Level to access the DMDC TAP system. 2. Knowledge of basic administrative policies, principles, concepts, and procedures, and the ability to apply such knowledge in performing work within established procedures and systems, including the ability to maintain confidentiality and professionalism. 3. Demonstrated ability to manage and to prioritize a multitude of tasks, often under strict timelines, while continuing to provide support to a variety of personnel. 4. Experience that reflects the ability to communicate effectively both orally and in writing with co-workers, MCCS employees, managers, and extended contacts using proper tact and diplomacy. PREFERRED QUALIFICATIONS: Experience that demonstrates intermediate to advanced level Microsoft Office proficiency; specifically Word and Excel, and Outlook. Experience drafting and editing documents to ensure compliance with Naval Correspondence Manual. Please include MONTH/YEAR and HOURS per week for all previous work experience listed on the resume.
