Position Summary: The Administrative Assistant will provide essential support to the management and staff, ensuring that the office operates smoothly and efficiently. This role includes handling various administrative tasks, managing communications, and coordinating daily activities within the organization.

Key Responsibilities:

  • Perform general office duties, including answering phone calls, managing emails, and handling correspondence.

  • Prepare and edit documents, reports, and presentations as needed.

  • Organize and schedule meetings, appointments, and travel arrangements.

  • Maintain filing systems (both digital and physical) and ensure confidentiality of sensitive information.

  • Greet and assist visitors, ensuring a welcoming office environment.

  • Coordinate office supplies, place orders, and maintain inventory.

  • Assist with data entry, record-keeping, and updating company databases.

  • Support the preparation of expense reports, invoices, and financial records.

  • Assist in organizing company events, meetings, and conference calls.

  • Perform other administrative duties as assigned by the management team.

Requirements:

  • Proven experience as an Administrative Assistant, Office Administrator, or similar role.

  • Excellent organizational skills and attention to detail.

  • Verbal and written communication abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to multitask and manage time efficiently in a fast-paced environment.

  • Problem-solving skills and the ability to work independently.

  • High level of professionalism and discretion when handling sensitive information.

Preferred Qualifications:

  • Bachelor's degree in business administration or a related field (preferred but not required).

  • Experience with office management tools or CRM software.

  • Familiarity with bookkeeping or basic accounting procedures.
