The Administrative Assistant will play a key role in supporting the daily operations of DESC, a non-profit organization dedicated to providing emergency assistance to those in need in the Jacksonville community. This position requires a highly organized, detail-oriented individual who is capable of multitasking in a fast-paced environment. The Administrative Assistant will be responsible for a variety of administrative tasks, including office management, scheduling, communication, and supporting DESC's mission-driven programs.
Key Responsibilities:
Office Management: Maintain office supplies, manage incoming and outgoing mail, ensure the office is organized and operates smoothly.
Scheduling & Calendar Management: Coordinate and manage appointments, meetings, and events for the executive team and other staff members.
Communication: Serve as the first point of contact for phone calls, emails, and in-person inquiries; direct inquiries to the appropriate staff members; manage general communication for the organization.
Data Entry & Record Keeping: Maintain accurate records, enter data into databases, and ensure all documentation is filed correctly.
Support for Programs: Assist with the coordination and execution of DESC's programs, including food distribution, clothing services, and other community assistance initiatives.
Volunteer Coordination: Support the recruitment, training, and scheduling of volunteers to help with DESC's various programs.
Special Projects: Assist with special projects and initiatives as needed, including fundraising events and community outreach efforts.
Qualifications:
Education: High school diploma or equivalent required; associate's or bachelor's degree in a related field is preferred.
Experience: Minimum of 2 years of experience in an administrative role, preferably in a non-profit or social services setting.
Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook); excellent verbal and written communication skills; advanced organizational and multitasking abilities.
Personal Attributes: A commitment to DESC's mission, advanced interpersonal skills, a team player attitude, and the ability to work independently when needed.
