Job Description

The Position

We are seeking a talented and motivated Executive Administrative Assistant to support the Chief Business Development Officer (CBDO) and other senior professionals within the Business Development (BD) function at Organon. BD is responsible for identifying, evaluating, negotiating, and executing business transactions that add new products, programs, and technologies to Organon’s commercial portfolio and pipeline. Business development is a fast-paced, unpredictable, challenging, and fun environment

The successful candidate must demonstrate exceptional administrative and organizational skills, accuracy, the ability to exercise initiative, flexibility, and independent judgment. Additionally, this role involves managing special projects, interacting regularly with senior executives, and collaborating with stakeholders both internally and externally. The ideal candidate possesses excellent presence, maturity, attention to detail, and the ability to handle multiple highly confidential projects.

Responsibilities

  • Maintaining an accurately organized schedule for the leader for both internal business as well as external committees and commitments. Use discretion in setting up and accepting appointments; gather pre-reads and background information, when appropriate.

  • Tracking action items and any follow-up that is needed. Tracking numerous documents requiring executive approval or attention daily.

  • Proactive and timely management of and submitting expense reports.

  • Coordinating meetings, assisting in agenda creation, and providing minutes, when requested

  • Coordinating extensive multi-leg travel logistics (including global trips and visa preparation), teleconferences, and videoconferences.

  • Providing administrative support to the BD Operations Lead (calendar, expenses, travel, etc.) and, as appropriate, other senior leaders in the BD organization.

  • Supporting logistics for leadership team meetings, quarterly all-hands meetings, off-site and special purpose meetings and events.

  • Assisting with the coordination and material preparation for meetings and other communications.

  • Coordinate external client visits to our Company, scheduling conference rooms, making AV arrangements and ordering catering services, as needed.

  • Support virtual meetings using the latest technologies for Teams, teleconferences and webcasts, ensuring coordination with Business Technology for seamless execution of logistics.

  • An understanding of how to navigate and utilize the HR, expense and purchasing systems.

  • Creating and distributing highly confidential correspondence and presentations with discretion and professionalism.

  • Managing team sites, electronic files, databases, and other data in a systematic way for enduring use; maintaining appropriate filing system to provide prompt retrieval of presentations and other materials.

  • Supporting presentation development in PowerPoint and memo development in Word.

  • Collaborate with peer and Executive Leadership Team support teams on an ongoing basis to align strategies, improve processes and foster a sense of community.

  • Communicating effectively with executives and internal/external stakeholders and potential partners both on-site and remotely.

  • Assist BD Operations team with managing external engagements at conferences and partnering events (i.e., JP Morgan, BIO international).

  • Collaborating closely with and supporting the BD Operations team (event planning/logistics, special projects, budget management, managing databases, creating presentations, material preparations, etc.).

  • Helping to build reputation through responsive, respectful, and collaborative communications internally and externally.

  • Creating and managing purchase orders and procurement, as needed.

  • Fostering a team culture consistent with our values.

Required Education, Experience and Skills

  • High School Diploma.

  • Minimum ten years of administrative experience and five years supporting at the senior executive (SVP/EVP+) level.

  • Business systems processing experience for expense reports, purchase orders and payment requests.

  • Self-starter whose work priorities and activities are reviewed with little supervision.

  • Strong organizational, prioritization and time management skills.

  • Ability to handle sensitive data and information with utmost discretion and confidentiality.

  • Ability to interact with senior executives from both Organon and potential partners.

  • Outstanding executive presence and effective business communications - both written and oral - are necessary for daily interaction with senior leaders, Executive Leadership Team members, Board members, and external partners.

  • Exceptional interpersonal skills and the ability to manage relationships with internal and external parties are essential, including significant interaction with internal and external senior executives.

  • Displayed flexibility and sensitivity with others across other geographies, languages, and cultures.

  • Ability to succeed problem solve through investigation and solution identification.

  • Event Planning/Coordination experience.

  • Extraordinary attention to detail. Strong written and proofreading skills.

  • Proficiency in using MS Office Suite (Outlook, Word, Excel, PowerPoint, OneNote) and operation of other related programs & HR systems.

  • Ability to prepare and assist with PowerPoint presentations and Word documents; experience with Excel spreadsheets a plus.

  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel; Experience processing Visa/Passport Applications.

  • High degree of professionalism and sound judgment.

Preferred Experience and Skills:

  • Bachelor's degree preferred.

  • Advanced education, degree, or certifications such as (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification).

  • Previous project management experience.

Final salary determinations take a number of factors into account including, but not limited to, primary work location, relevant skills, education level, and/or prior work experience. The applicable salary range for this position in the U.S. is stated below. Benefits offered in the U.S. include a retirement savings plan, paid vacation and holiday time, paid caregiver/parental and medical leave, and health benefits including medical, prescription drug, dental, and vision coverage in accordance with the terms and conditions of the applicable plans.

Annualized Salary Range (US)

$101,900.00 - $173,300.00
