AON Admin Executive in Kuala Lumpur, Malaysia

What the day will look like

This position is under Aon Shared Service for Malaysia that cover the three (3) entities, Aon Insurance Brokers (M) Sdn Bhd, Aon Reinsurance & Aon Malaysia Sdn Bhd. The incumbent will be assigned to undertake the task and assignment by the Department Head of Facility Management.

Reception Management

  • Answer incoming calls

  • Attend to company business associate, Aon Colleagues (include Regional / Global)

  • Ensure all visitors are register as per company protocol

    Postage Management

  • Arrange & check all outgoing courier and Pos Laju consignments for collection by Pos Laju & courier services

  • Arrange parcel delivery via Pos Laju to Penang branch

  • Arrange for delivery or collection of documents by outsource dispatch

  • Outgoing normal mails

    Receive and sort incoming & outgoing mail, courier documents, etc

  • Collecting mails from building letter box daily basis & distribution of incoming mails & documents to all departments

    Office Facility & Maintenance

  • Daily check of all resource rooms supplies and pantry supplies

  • Daily check and top up of hand wash in washrooms

  • Daily check and top up A4 paper in resource rooms

  • Attend to vendors & suppliers for deliveries to the office

  • Attend and monitor contractors/vendors during repairs, servicing & maintenance work in the office

  • Contact contractors/vendors for any breakdown of office equipment, air cond, electrical lighting, coffee machine, water dispenser, etc

  • Assist to set-up meeting rooms and refreshment for clients/visitors meeting

  • Liaison with building management on any breakdown in common areas such as lifts, washrooms, etc

    Resource support/planning

  • Supervise office cleaners on daily routine office cleaning

  • Monitor usage of Crown security bins at all resource rooms

  • Co-ordinate with Business departments on offsite packing, storage & disposal

    Adhoc Assignment

    The incumbent will be assigned to other ad hoc or additional task as and when if necessary.

    Skills and experience that will lead to success

    Education & Qualifications/Expected Experiences

    • Degree and relevant working experience
  • Experience in secretarial work and office administration is added advantages

    Skills & Knowledge

    • Computer Skills (especially in Microsoft Office – Word, Excel and Power Point)
