Description We are offering a permanent employment opportunity for a Receptionist in the commercial industry, based in La Mesa, California. The chosen candidate will join a team, providing support to various tenants within the building. The primary responsibilities will include handling phone calls and emails, managing conference room reservations, and assisting the management staff with daily activities.
Responsibilities:
• Manage incoming phone calls, including spam, tenant, and vendor calls
• Handle a high volume of email correspondence with tenants
• Coordinate conference room reservations as required
• Input work orders into the system efficiently and accurately
• Oversee vendor management for issues such as lighting or lockouts
• Greet tenants either in person or over the phone, ascertain their needs, and direct service requests and queries to the appropriate staff member
• Create maintenance requests in our property management software
• Provide assistance to the management staff on daily projects and activities as needed
• Utilize software like AppFolio, Microsoft Excel, Microsoft Outlook, and Microsoft Word to perform tasks
• Exhibit professionalism and a positive attitude while interacting with people Requirements • Proficiency in answering multi-line phone systems for effective communication
• Exceptional customer service skills to ensure client satisfaction
• Experience with data entry, ensuring accuracy and efficiency
• Ability to handle email correspondence professionally and promptly
• Strong interpersonal skills for effective collaboration with team members
• Proficiency in using Microsoft Excel for data management and analysis
• Familiarity with Microsoft Outlook for managing emails and scheduling
• Competence in using Microsoft Word for creating and editing documents
• Experience in organizing files for easy retrieval and record keeping
• Ability to schedule appointments accurately and efficiently
