Degan, Blanchard & Nash Administrative Coordinator / Office Manager in Lafayette, Louisiana

The Legal Secretary / Support Staff Coordinator plays a vital role in supporting our legal team by coordinating the day-to-day workflow of 8-10 support staff members and managing attendance. This position combines traditional legal secretary responsibilities with the added duties of overseeing the daily attendance and workflow of the Lafayette Office's support staff. The coordinator will work closely with the Partner in Charge and HR to ensure smooth operations and optimal productivity.

Administrative Duties:

  • Open, sort, and distribute incoming mail to the appropriate team members.

  • Scan and save documents, including medical records and depositions, to Worldox (WD) as required.

  • Prepare conference rooms for depositions, mediations, and meetings; ensure they are clean, stocked with beverages, and ready for guests.

  • Answer incoming calls, gather necessary information, and forward messages to the relevant personnel.

  • Verify shipment invoices, organize office supplies, and report missing items to the appropriate contact.

Office Management Duties:

  • Monitor and track daily attendance and manage time-off requests for 8-10 support staff members.

  • Assign and reassign tasks based on attendance and workload demands, ensuring adequate coverage during absences.

  • Coordinate with attorneys to maintain workflow and ensure smooth office operations.

  • Provide recommendations for process improvements related to staff coordination and office efficiency..

This is a fully in-person position based at our Lafayette office. The selected candidate must adhere to our in-office attendance policy and is expected to work on-site during all designated work hours. Punctuality, consistent attendance, and the ability to work in a collaborative office environment are essential requirements of this position.

Qualifications:

  • Proven experience as an Administrative Coordinator, Office Manager, or similar role in a law firm setting.

  • Excellent organizational and multitasking skills.

  • Strong communication skills and ability to interact effectively with attorneys, staff, and clients.

  • Proficient in Microsoft Office Suite and document management software.

  • Ability to handle confidential and sensitive information with discretion.

  • Problem-solving skills and the ability to adapt to changing priorities.

  • High attention to detail and a proactive approach to work.
