JOB SUMMARY

The purpose of this position is to manage multiple functions of building operations and maintenance for a facility, campus or portfolio of buildings.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Develops and maintains positive relationships with clients. Attends client meetings.

  • Coordinates oversees and/or manages repair and maintenance work assignments performed by Self Perform Team and/or 3rd party service providers performing Hard Services scope which covers building maintenance and etc., and Soft Services scope which covers, Cleaning & Janitorial works, landscaping works and etc.

  • Analysis and review of work orders issued per day and per week to ensure that assignments are completed.

  • Work order analysis report preparation and calibrating the performance of Self Perform Teams & 3rd party contractors.

  • Site Gemba walks and reviews Assets on daily basis with a report of performance on weekly for the stakeholders.

  • To review the operational schedules i.e., soft service and hard services followed up with team TBT.

  • Responsible for preparing detailed reports on asset condition, facility inspection and their performance outcome.

  • Coordinate and mediate between the client and the local team on-site for MBRs focusing on the process improvements.

  • Responsible for any coordination and uplifting of the scope which can be due to scope creep, management of facility relocation, and amendments of any activities.

  • To Lead the Coordination team i.e. Assistant Facilities Manager, Facilities Coordinators, Assistant Facilities Coordinators, & A.CS for obtaining and reviewing price quotes for the procurement of spare parts, services, and labor for projects.

  • Manages capital projects. Prepares capital project and operating budget and variance reports.

  • Manages vendor relationships and trains vendors on work orders and billing procedures. Responsible for invoice processing and accuracy of cost center coding.

  • Uses pc and/or PDA for work order system, email, ESS and training. Provides process and procedure training.

  • Conducts financial/business analysis including the preparation of reports.

  • Other duties may be assigned on need of the client/stake holder and/or site requirement.

SUPERVISORY RESPONSIBILITIES

  • Provides formal supervision to individual employees within single functional or operational area.

  • Recommends staff recruitment, selection, promotion, advancement, corrective action and termination. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Prepares and delivers performance appraisal for staff.

  • Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values.

EDUCATION and EXPERIENCE

  • Engineering degree / MBA .

  • Minimum of 5 to 7 years of related experience and/or training.

CERTIFICATES and/or LICENSES

Facility Management certification preferred. Driver's license may be required.

COMMUNICATION SKILLS

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information. Ability to respond effectively to sensitive issues.

FINANCIAL KNOWLEDGE

Requires advanced knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and commissions. Conducts advanced financial analysis.

REASONING ABILITY

Ability to comprehend, analyze, and interpret complex documents. Ability to solve problems involving several options in situations. Requires advanced analytical and quantitative skills.

OTHER SKILLS and/or ABILITIES

Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet. Ability to use work order system.

Working knowledge of architectural, electrical and mechanical systems. Working knowledge of leases, contracts and related documents.

SCOPE OF RESPONSIBILITY

Decisions made with thorough understanding of procedures, company policies, and business practices to achieve general results and deadlines. Responsible for setting work unit and/or project deadlines. Errors in judgment may cause short-term impact to department.
