Shire Market Development Conference Coordinator in Lexington, Massachusetts
Meetings Program Management:
Maintain calendar of key meetings across regional and local scope which identifies key meeting details (i.e., dates, location, attendees, Shire presence) that is used by Marketing & Market Development to coordinate conference attendance across the Shire team
Identify responsibilities or opportunities at each meeting for Shire to benefit from and align with market development team to prepare and have assets needed on-site in advance
Coordinate with Market Development/Sales/Meetings for meetings logistics (i.e., exhibit hours, personnel confirmed, & staffing; exhibit display ordered/delivered)
Ensure teams have all their logistics in place for regional and local meetings (i.e. travel/hotel booked, registrations to meetings)
Complete Meeting Event Forms for Regional conferences on behalf of Market Development team
Ensure presentations needed are approved in CMLR prior to meeting
Lead SWAT meetings across Shire functions (Marketing, Sales, Market Development, Meetings, etc.) to ensure alignment and holistic view of upcoming meetings
Ensure sponsorships for regional/local meetings are approved and assets are delivered in advance (ex. bag drops, ads) and post meeting assets are pulled through (i.e., surveys, sponsorship memo to membership)
Coordinate with Market Development/Marketing and Business Partners (i.e., Parsons Communications) where appropriate for logistics pre/post meetings for sponsorships
Engage with Sales leaders for booth staffing needs
Conduct Convention Overview & Expectations Meeting with Sales reps staffing booth
Provide approved marketing materials (bag drop, print ad, etc.) to Sales for approved regional programs
Liaise with Marketing Professional Education team on symposia sponsorships
Strong collaboration with Marketing to ensure effective planning and execution of materials
