Shire Medical Grants Specialist II in Lexington, Massachusetts

The IME Specialists administers the day-to-day operation of the organization's Medical Education Grant program and related activities. This can include but is not limited to internal/external stakeholder engagement and communication, lifecycle grant management, reporting, budget tracking, process improvement, etc. Participates in implementing policies and procedures for the organization. Ensure activities are carried out in a compliant manner.

• Assist with operational management of Medical Education Grants program, systems, and services

• Support Medical Education Grants Program project development/harmonization, implementation, modifications and optimization, including alignment of processes and systems to the requirements of GMA, Legal and Compliance partners

• Support management of system vendors and addressing of Medical Education Grants team requirements

• Identify areas for process improvement, propose changes, and participate in implementation as appropriate

Lifecycle management of Independent Medical Education (IME) and medical sponsorship grant programs within assigned Therapeutic Area(s)

  • Support of Independent Medical Education (IME) and medical sponsorship review process within assigned Therapeutic Area(s)

  • Interact directly with external grant requestors clearly and concisely to ensure compliance with Shire policies, global and local healthcare laws

  • Work with legal and compliance colleagues as necessary to facilitate the efficient creation and execution of IME/medical sponsorship contracts and amendments

  • Initiate and track payments for awarded grants

  • Track activity progress against proposed timelines

  • Secure required documentation for completed activities

  • Manage transparency reporting for approved grants

Administer the IME and medical sponsorship proposal review process for assigned Therapeutic Area(s).

  • Coordinate with the IME committee for review and IME and medical sponsorship proposals

  • Ensure timely review of proposals by required grant review committees, contract generation and execution

  • Ensure appropriate and efficient follow-up of review committee action items, decisions, and/or requests for additional information regarding the proposal

Assist with definition and management of procedures, communication and training for relevant GMA projects

  • Provide input into the development SOPs, procedures and training for use of projects and processes by Global Medical Affairs team members

  • Support definition and delivery of skills and compliance training for GMA projects system users

  • Track project performance in terms of goals and delivery of services to internal/external stakeholder

  • Manage external stakeholder inquiries via email/phone/web meetings

Education and Experience Requirements

  • A relevant Bachelor’s degree (BS or BA) is required

  • 3 years of experience in a relevant life science industry (e.g. biopharmaceutical/biotechnology) preferably within a matrix structure and/or in the area of grant management within academia/or at a heath care organization.

  • Experience of executing projects is required

  • Experience of managing vendors is preferred

  • Knowledge of medical affairs customer interaction and documentation best practices, legal and regulatory requirements, Codes of Practice, Standard Operating Practices and guidelines is required
