What You’ll Be Doing
Cadmus is looking for an Operations and Administration Specialist who willprovide comprehensive administrative support to the UK team with administrative and compliance tasks and management of daily operations. The ideal candidate will have strong organizational skills, attention to detail, and the ability to take initiative and manage multiple tasks efficiently. This role requires good communication skills and the ability to work well with others, as the Operations and Administration Specialist will interact with various teams and external stakeholders. Prior experience in an executive support and/or administration is essential.

Cadmus’ UK subsidiary is an integral part of our International Development Division and provides a range of services to UK, EU, and other international donors.
Responsibilities
Provide effective operational and administrative support to Cadmus’ UK Team, with focus on operations (people, programs and offices) and compliance activities
Schedule and manage appointments, meetings and conferences and support with organizing staff strategy and social events
Provide support to the Head of Operations and Compliance with internal and external compliance and operational reporting
Support operations and compliance activities and projects including drafting inputs, tracking deadlines, coordinating tasks, communications and stakeholder inputs
Support implementation of Travel and Duty of Care Policy. This includes, amongst others, support with obtaining visas, organising security training, liaising with external support specialists, including insurance, travel security and travel assistance contacts
Assist with research and data collection for operations, compliance and business development activities
Assist accounting with invoicing and other ad-hoc tasks, including keeping corporate records up to date
Draft, proofread, format and distribute internal and external communications such as memos, letters, emails bulletins, news stories and case studies
Provide support with formatting and proof-reading of other business lines’ documents, CVs, presentations, reports, etc
Handle data entry, filing and retrieval of important documents and ensure records are kept in line with data protection and retention policies
Support implementation of Cadmus’ supply chain management policy, including vetting and compliance of external vendors, sub-contractors and service providers
Under the supervision of the Head of Operations and Compliance, oversee operations and administration vendor/service provider contract and relationship management
Ensure effective office facilities management, coordinating office space planning, maintaining the office environment, managing facilities compliance management and handling maintenance issues
Act as a point of contact and interface between staff and external vendors and service providers
Act as pint of contact for office/building management and maintain effective and cooperative relationships with the landlord
Maintain stocks of stationery and office supplies
Support with other administrative and support duties as may be required from time to time
Qualifications
At least 5 years’ experience in executive support and/or administration in a professional services environment, working to senior management/executives
Strong communication skills in English, both written and verbal and effective interpersonal skills
Efficient organisational, time management and attention to detail skills
Ability to plan-ahead, prioritise, with strong organisational skills
Flexibility and the willingness to get things done, supporting others, as necessary and with understanding how role contributes to wider organisational goals
Self-motivated and able to work with limited supervision using own initiative to resolve issues and progress actions
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint) and competent with use of office IT systems and hardware
Preferred Qualifications:
Expertise and experience of office/facilities management in a professional services environment
Expertise and proven experience of managing in-house and outsourced services in a multi-contract environment
Knowledge of ISO Quality Management protocols desirable
Experience of being exposed to sensitive information and ensuring confidentiality of the information
Experience of working in a fast-paced environment
Right to work in the United Kingdom
