Job Summary

Responsible for supply chain activities for the Gulf Park Physical Plant. Pickup and delivery of maintenance supplies and equipment. Assist with inventory management. Responsible for vehicle and key management. Processes mail in the mail room. Ensures accurate and timely delivery of mail, shipments and packages to all campuses and Gulf Park departments. Provides friendly customer service to all who utilize our services. This position may periodically require participation in call-out responsibilities. This position is considered essential and therefore the Logistic Coordinator may be required to return to campus before and after storm or emergency events.

Primary Duties and Responsibilities

  • Responsible for supply chain activities for the Gulf Park Physical Plant which includes purchasing of materials, parts and equipment from vendors and suppliers, paying invoices, and reconciling credit card transactions for the department. Responsible for physical plant inventory, vehicle and mobile equipment management, key management and shipping and receiving activities.

  • Processes mail in mail room, includes mail distribution, metering all campus mail, and sorting mail from Postal Service. Assists in overseeing courier operations and serves as relief person to courier for USM campuses. Receives and delivers shipments from various couriers to all buildings and departments on USM Gulf Park Campus. Maintains detailed and accurate records of shipments to various departments. Operates forklifts, tractors and loaders to load and unload trucks.

  • Responsible for pick-up and delivery of equipment, materials and supplies from local area vendors and suppliers. Assist Gulf Park Physical Plant Trades, Utilities and Fire Safety Superintendent in vehicle and mobile equipment management and maintenance. Responsible for key management which includes generation, exchange, audits, inventory, storage, use and replacement of keys.

  • Maintains warehouse areas which includes receiving, warehousing, and distributions operation, equipment, and inventory in a safe and productive manner. Assist Gulf Park Physical Plant Trades, Utilities and Fire Safety Superintendent and Superintendent of Custodial and Event Services with maintaining adequate par levels of material, equipment needed for maintenance and repairs, routine renovations, and special projects.

  • Assist department Business Coordinator with tracking campus buildings, space and furnishings inventory and corresponding insurance. Works with departments to assure that inventory records are accurate. Assist the Business Coordinator during inventory audits conducted by the University and/or state agencies and with inventory management.

  • Serves as a member of the Physical Plant Essential Personnel and as directed by the Director of Physical Plant participates in pre-emergency preparations and post emergency recovery efforts.

  • Performs additional duties as assigned.

Minimum Qualifications:

Associate’s degree from an accredited college or university and two years shipping and receiving, purchasing, vehicle and/or inventory management experience OR equivalent combination of education and experience. Driver's License required.

Knowledge, Skills & Abilities:

  • Skilled in office systems and technology.

  • Ability to operate forklift, tractor and loader.

  • Ability to manage computer-based package tracking systems.

  • Skilled in written and oral communication skills and the ability to communicate with a diverse group of individuals.

  • Skilled in organization and time management.

  • Ability to operate US Mail metering machine and manage outgoing and incoming US Mail.

  • Ability to reconcile departmental purchase card receipts in bank system.

  • Ability to operate hand trucks, package carts and dollies.

  • Ability to perform physical tasks such as lifting, carrying, and maneuvering objects.

    Preferred Qualifications:

    5 years related experience and/or training; OR equivalent combination of education and experience
