UCLA Health Patient Navigator - Thoracic Surgery in Los Angeles, California

Under the general supervision of the Manager and Administrative Team Supervisor, the AAIII is to provide day-to-day coordination and communication for patients receiving care at Thoracic Surgery department. This is a pro-active role where the incumbent must manage the process to ensure patient care is coordinated. It is important s/he facilitate effective communication on all levels through tactful and professional interaction. Understanding steps and processes for multiple diagnosis can often times be overwhelming and unclear for patients new to the system. This role will be the central contact for the patient and is primarily responsible for helping the patient navigate the health system. The patient navigator role is designed to be the key point of contact for each patient.

Incumbent must be able to multi-task between scheduling responsibilities, providing personalized customer service, identifying areas to improve patient relations, routine administrative functions and executing all tasks as assigned by the Manager. The incumbent will utilize organization and physician practice expertise to obtain and ensure the patient arrives to the practice with all required information and is ready for consult. The incumbent is additionally responsible for communications to the patient around insurance authorizations and the approval process. Responsibilities include: answering and routing calls, greeting patients, scheduling appointments, sending out new patient materials, updating patient information in CareConnect, registering and checking out patients, obtaining authorizations, scheduling ancillary tests, imaging, surgeries, and procedures and providing general patient assistance. Ability to obtain all documentation needed by Physicians for clinic appointments

This role also provides general administrative support for Physicians and clinicians. Major functions include, but are not limited to, answering and triaging multi-telephone lines; acting as a resource person to callers from within and outside of UCLA; maintaining physician calendar and schedules and additional administrative support as needed.

Salary Range: $29.42-$42.14/hourly

Qualifications

Required:

  • Ability to work on a self-directed basis, make independent decisions, and follow-through on assignments

  • Skill in speaking clearly and distinctly to groups or on a one-to-one basis using appropriate vocabulary and grammar to obtain and convey information to outside agencies and various individuals at various managerial levels

  • Ability to maintain equanimity in situations which require conflict resolution

  • Skill in organizing/coordinating a variety of information, materials, and people in a systematic way to optimize efficiency and minimize duplication of effort

  • Working knowledge of Thoracic Surgical Oncology, cancer, and medical terminology

  • Skill in prioritizing assignments when faced with heavy workload, deadlines, interruptions, and competing requests for service in order to complete tasks in a timely manner

  • Skill in reading correspondence and other written communication in order to determine the urgency of the communication and who should be made aware of it

  • Skill in writing grammatically correct routine business correspondence such as informational letters, memoranda, and notification letters

  • Skill in interacting diplomatically with a diverse population composed of staff, physicians, administrators, and outside personnel

  • Ability to modify and adapt office procedures to changing operational needs

  • Ability to work efficiently when faced with frequent interruptions

  • Knowledge of University structure and policies sufficient to serve as a resource for questions, referrals, and documentation

  • Ability to recognize and deal appropriately with sensitive and confidential issues

  • Ability to establish and maintain cooperative working relations with co-workers. Ability to work as part of a team, collaborating with colleagues

  • Ability to utilize CareConnect to register, encounter, and arrive patients, and to retrieve patient records

  • Skill in using Word and Excel

  • Ability to type with speed and accuracy
