Whole Life Engineering (WLE) is responsible for ensuring our products are Safe, Reliable, Maintainable and delivered on time. WLE consists of multiple disciplines that support engineering, our program offices and our customers. Our WLE disciplines participate in the total life cycle of our products from conception to deactivation. Our focus area is product support, including the following disciplines: Reliability System Safety and Supportability.

Job Summary:

Whole Life Engineering Depot Operations & Sustainment and the Phalanx Performance Based Logistics Program team are seeking an Administrative Associate based out of Louisville, KY. In this role, you’ll support a team of approximately 200 engineers located across Raytheon Missiles & Defense locations. You’ll bring to the table your ability to work independently, prioritize multiple tasks and anticipate the needs of the organization, leaders, and geographically dispersed team members. In addition, you’ll use your ability to exercise discretion and handle sensitive and confidential information.

Your general responsibilities will include::

  • Ordering supplies/materials for Department and supported Programs

  • Coordinating the onboarding of new employees and subcontractors.

  • Maintaining staffing roster and organization charts

  • Maintaining email groups for communication distribution

  • Department and Department Manager Calendar management, meeting scheduling and coordination

  • Scheduling and coordinating all-hands meetings and subsequent survey distributions

  • Generating expense reports

  • Planning and coordinating employee office moves

    Responsibilities to Anticipate:

  • Your day-to-day responsibilities will include:

  • Working on mobile devices and using this technology for increasing productivity of both the main office and other locations where the SI&T Leader may travel

  • Responding quickly and accurately and adapting effectively to non-routine requests and situations

  • Collecting inputs and generating Department Monthly Highlight Reports

  • Generating visit requests

  • Maintaining Department Action Item Status, ensuring deadlines are met

  • Inputting data and generating reports from various company databases and applications, e.g., APEX, shared drive & eRooms

  • Providing PowerPoint and Excel support to department members

  • Complying with Raytheon Technologies' policies and procedures and Security functions

    Qualifications You Must Have:

    Education: High school, AA/AS Degree or other 2 year post high school training

    Employment Experience:

  • 4+ four years of relevant administrative experience

  • Experience using Microsoft office suite tools (MS Outlook, Word, Power Point and/or Excel)

  • Experience with calendar management, meeting scheduling and coordination, planning events, or expense or data reports

  • Experience planning and / or coordinating travel

  • The ability to obtain and maintain a US security clearance. US citizenship is required as only US citizens are eligible for a security clearance

    Qualifications We Value:

  • Experience reviewing multiple reference sources, selecting and compiling data for reports and other forms of correspondence with minimal supervision

  • Experience using WebTE, TravelSmart, Skype, Rshare, Zoom, and electronic collaboration tools, and video conferences

  • Excellent verbal and written communication skills

  • Excellent attention to detail, ability to work independently with minimal supervision and adapt to changes in priorities in a fast-paced environment

  • Strong interpersonal skills

  • Ability to anticipate needs, be proactive, and apply sound judgment when making decisions

  • Ability to work effectively in a team and matrixed environment

  • Ability to work a flexible schedule that may require overtime, modified time or extended hours on occasion
