Job Description

Key Responsibilities:

Executive Support:

  • Serve as the gatekeeper and primary point of contact for all communications and interactions involving the CEO, managing the flow of information and prioritizing accordingly.

  • Manage the CEO’s complex calendar, including scheduling internal and external meetings, events, and appointments.

  • Coordinate and prepare materials, agendas, and minutes for executive meetings, and other high-level forums.

  • Handle confidential information with discretion, ensuring absolute integrity in all communications.

Strategic Project Management:

  • Support the CEO with key strategic initiatives, managing timelines, tracking deliverables, and ensuring alignment across cross-functional teams.

  • Lead special projects from initiation to completion, collaborating with senior leadership and stakeholders.

Administration Team Leadership:

  • Oversee and manage the administration team across various states in Australia, ensuring consistent processes, communication, and performance across all regions.

  • Provide guidance, support, and professional development opportunities to administrative staff, fostering a collaborative and high-performance culture.

  • Develop and implement best practices for administrative operations, ensuring efficiency and standardization across all locations.

  • Monitor and evaluate the performance of the administrative team, providing regular feedback and driving continuous improvement initiatives.

Communication & Coordination:

  • Draft, review, and edit presentations, reports, and executive correspondence on behalf of the CEO.

  • Act as a liaison between the CEO and internal/external stakeholders, maintaining positive relationships and ensuring clear communication.

  • Coordinate domestic and international travel arrangements, including detailed itineraries and logistical support.

Operational Excellence:

  • Proactively identify opportunities to improve processes and workflows that enhance efficiency and productivity.

  • Manage and prioritize incoming requests, ensuring the CEO’s time is focused on the highest-impact areas.

  • Provide high-level support in event planning and execution, including leadership off-sites, town halls, and industry conferences.

Skills and Qualifications:

  • Experience: Minimum of 7 years of experience as an Executive Assistant, with at least 3 years supporting C-suite executives in a fast-paced healthcare, life sciences, or technology environment. Experience managing administrative teams across multiple locations is highly desirable.

  • Leadership Skills: Proven experience in leading and managing distributed teams, with the ability to inspire, motivate, and develop team members.

  • Communication Skills: Exceptional written and verbal communication skills, with the ability to craft clear, concise, and compelling executive-level communications.

  • Organizational Skills: Outstanding organizational and time-management skills with the ability to handle multiple priorities, meet deadlines, and work under pressure.

  • Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Attention to Detail: Meticulous attention to detail, with a high degree of accuracy in all deliverables.

  • Problem-Solving: Proactive problem-solver with strong analytical skills and the ability to think critically and make sound decisions.

  • Interpersonal Skills: High emotional intelligence with the ability to build strong relationships, influence without authority, and manage up effectively.

  • Confidentiality: Unwavering commitment to confidentiality and discretion in handling sensitive information.

  • Adaptability: Comfortable working in a dynamic, ever-changing environment with shifting priorities and fast-paced demands.
