Summary

The Materials Coordinator – Retail fulfills and provides oversight to Supply Chain Retail pharmacy services. Compiles, prepares, and generates purchase orders for pharmaceutical products ensuring a minimum supply is available always taking into consideration high usage, drug shortages, and unexpected/emergent usage. Monitor inflow and outflow of all pharmaceuticals, stocking to defined inventory levels. Aligns purchases to system contracts, programs, and initiatives. Maintain daily transactions including receipts, invoices, issues, purchase orders, and adjustments which are loaded into the purchasing and ERP system. Works to ensure proper accountability of all drug receipts and transactions are maintained in compliance with Drug Supply Chain and Security Act (DSCSA), contracts, and 340b as applicable.

Essential Job Functions

  • Purchasing: Compile, prepare, and generate purchase orders, for pharmaceuticals and related pharmacy products ensuring a minimum supply is available always taking into consideration drug shortages, unexpected/emergent usage, and high usage stock to be maintained in pharmacy automation (ex. Parata system). Assist in receiving, unpacking, scanning and putting away orders daily. Facilitate reverse distribution and monitor credits.

  • Collaborate with system-level and local pharmacy teams to ensure standard ordering and approval processes are achieved and maintained related to pharmacy purchases from primary wholesaler, drop-shipments, direct manufacturer accounts, and secondary sources. Evaluate backorder queues to determine order adjustments and need to rebill substitute NDCs. Maintain product mapping in host pharmacy system to ensure claims are billed for stocked NDCs. Complete monthly 340b orders for ship-to/bill-to accounts. In addition, works with authorizing pharmacist at site to complete controlled substances orders in CSOS and on DEA 222 forms and ensure proper documentation for ordering narcotics.

  • Inventory Management: Provide oversight and guidance in ensuring appropriate compliance toward perpetual inventory system. Monitor outdated items, manufacturer re-calls and process returns accordingly. Coordination of annual/other required physical inventory procedures.

  • Purchasing Compliance: Align purchases to all applicable system contracts, wholesaler and related pharmacy programs, and initiatives.

  • Shortage Management: Work with both system and local pharmacy teams to establish plans and processes around current drug shortages

  • Payments: Process and authorize payment for all invoices for merchandise received or credited per established procedure. Work with accounts payable to ensure timely processing and reconciliation of invoices.

  • Regulatory Compliance: Management of pharmacy inventory documentation for compliance with DSCSA and 340b requirements

  • Waste/Discrepancy Mitigation: Conduct out-date checks on infrequently used drugs. Provide guidance to pharmacy waste and charge discrepancy tracking process

  • Retail Pharmacy Systems: Understand and navigate retail pharmacy systems such as ordering platforms, perpetual inventory systems.

  • Analytics & Optimization: Analyze, recommend, plan and execute purchasing optimization, including, inventory turns and velocity, shelf design for efficient dispensing, timing orders for staff levels and budget goals. Excel skill necessary for analyses such as pack sizes/opportunities while balancing contract compliance,

  • Communication: Proactively, professionally, articulate changing business needs and issues in a timely fashion to leadership and/or the appropriate levels of the organization.

  • Miscellaneous: When needed, assist local pharmacy staff with day to day operations
