HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

  • The Administrative Assistant (AA) will be expected to exercise a high level of autonomy and independence in support of the daily operations of the office

  • The AA will field daily transactional and support requirements, and be expected to prioritize these requirements in order to meet various schedules and deadlines

  • The AA will have daily interaction with internal and external personnel and be expected to have familiarity working across organizational boundaries to arrange meetings and coordinate responses to requests for information

  • The AA should possess excellent verbal and written communication skills for responding to incoming email and phone calls

  • The Administrative Assistant will facilitate the onboarding of new personnel by generating account accesses using the Sponsor Access Tracking System, setting up certain meetings, and answering inquiries

  • Duties for the Administrative Assistant (AA) are wide ranging and include preparing and disseminating periodic reports as direct by Department management (daily or weekly) ensuring inputs are provided by the Department's groups, formatting is followed, and filing completed after the dissemination of the reports

  • The AA will coordinate travel for 2-4 department managers, to include appropriate reservations, updating itineraries, and notifications to appropriate parties

  • The AA will act as focal point for Accountable Property Inventory, and other reports requiring tracking and response; as well as interaction with the Center's various support elements

  • The AA is also expected to be a vault custodian for two vaults

  • The AA will act as the timekeeper for staff time and attendance accounting

  • The AA will order and manage office supply inventory

  • The AA will provide meeting and administrative support to include logistics, preparation and printing meeting materials, coordinating agenda items on behalf of meeting attendees, coordinate and produce detailed and substantive meeting minutes, notes and action items to ensure meeting objectives are achieved

  • Within specified performance criteria and deadlines, coordinate with other entities within the Center and the Sponsor to gather information or arrange necessary activities to enable special projects, studies, responses, meetings, and other actions in regards to Center mission requirements

  • The AA will track Department requirements, monitor incoming correspondence and sponsor specific communication databases, and proactively respond. Review sponsor specific forms for accuracy and match data

  • Track contract and insurance renewals for the team

  • The Administrative Assistant (AA) will manage email, messages, and phone calls for daily operations of the center

  • These actions can sometimes run upwards of 100 instances a day requiring the AA to take action in coordination with senior management to in regard to making changes to their schedules (adjust/decline, etc.)

  • The AA will maintain a dynamic calendar and schedule for meetings and, as required, use sound judgment and discretion to make last-minute adjustments to scheduling applying knowledge of mission requirements

  • The AA should identify in advance potential issues requiring senior management awareness and/or authorization and have them addresse

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph clearance

  • HS Diploma and 3 years of relevant experience or equivalent combination of education and experience

  • Core hours are 8:00am - 4:00pm or 9:00am - 5:00pm in order to support the schedules of the office leadership

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
