Department Summary:

Within MITRE’s Intelligence Center the National and Defense Intelligence Division is accountable and responsible for programs with the Office of the Director of National Intelligence (ODNI), the Office of the Undersecretary of Defense for Intelligence and Security (OUSD (I&S)), and the Defense Intelligence Agency (DIA). Our projects enhance the Nation’s capabilities in Warfighter Support, Counterintelligence and Insider Threats, Scientific and Technical Intelligence, Counterterrorism, Intelligence Fusion, Data-Driven Strategy and Policy, Mission Engineering, and War Crimes Accountability.

Roles & Responsibilities:

The National and Defense Intelligence Division is seeking a Senior Project Coordinator to provide security, programmatic, and administrative support to our project management teams. This individual will support multiple projects with assignments spanning several departments in MITRE's Intelligence Center and will engage daily with MITRE staff and sponsors in multiple locations. This position is expected to work primarily onsite at MITRE, and during core sponsor and MITRE business hours.

The Senior Project Coordinator’s responsibilities include:

  • Communicate clearly with MITRE leaders and staff as well as government sponsors and contracting officers

  • Assist Program Coordinators and Project Leaders with critical project management tasks, to include but not limited to:

  • develop and monitor project staffing plans and execution;

  • coordinate with other MITRE business units, such as Finance and Contracting, to ensure contractual documentation and financial reporting is clear, precise, and correct;

  • track deliverable progress and ensure clear, professional, and timely delivery;

  • maintain and update project knowledge management tools and resources, such as shared calendars, distributions lists, SharePoint and MSTeams

  • make and appropriately account for project purchases

  • compile, edit, produce and submit progress reports;

  • ensure work products and deliverables are shared with appropriate MITRE audiences, in keeping with sponsor requirements; and

  • monitor compliance with sponsor-directed tasking

  • Facilitate and track all MITRE and sponsor-facing security and access actions to include initial, renewal/revalidation, and account and badge creation to ensure staff members have the accesses and accounts they require and that MITRE meets or exceeds sponsor expectations for security processing

  • Maintain accountability for MITRE and USG property, ensuring compliance with all MITRE and sponsor audit requirements

  • Maintain awareness of project objectives, tasking, and needs in order to assist Project Leaders in identifying appropriate staff and capabilities to support projects

  • Plan, organize, and orchestrate meetings, conferences, and events, to include coordinating supporting services including facility reservation, visit requests and clearance passage, audio and visual support, catering, security, and other activities

  • Exercise discretion regarding sensitive information at all levels both internally and externally

  • Collaborate effectively with the other Project Coordinators and Department and Division administrators to execute and improve project and division operations.

Basic Qualifications:

  • Active TS/SCI with CI Polygraph

  • Bachelor’s degree and a minimum of 3 years of related experience

  • Experience developing and documenting processes and operating procedures with strong problem-solving skills; must be able to work independently and be self-motivated

  • Very strong organizational skills and exceptional attention to detail

  • Ability to manage multiple complex projects and meet deadlines

  • This position has an on-site requirement of 5 days a week on-site

Preferred Qualifications:

  • Experience in the Intelligence Community environment; experience with IC policies, procedures and systems for personnel, physical and industrial security

  • Proven track record in managing and administering tasks to meet sponsor needs

  • Strong writing and editing skills including demonstrated ability to articulate complex topics to sponsors and staff

  • Demonstrated ability to work well in collaborative and dynamic environments that foster innovation in areas that provide enhanced capabilities to MITRE’s sponsors and that result in significant benefit to the Nation
