The role

Partnering with our client service team, this role plays a crucial role in ensuring our clients have suitable funding to meet their desired support services through analysing NDIS plans and agreed rosters of care and then tracking ongoing expenditure against them. The role requires a high level of attention to detail, problem solving capabilities and a key sense of commercial outcomes. Our clients will become your very own profit and loss to budget for, manage and report on.

In addition, the role is critical to providing information to the Client Services teams in relation to the NDIS price guide and InLife's ways of operating that relate to clients funding. This includes assisting with quoting, reviewing NDIS pricing requirements, assisting with the management client purchases for their homes, our offices, and the wider support team.

Finally, as part of the wider client funds team, you will play a part in managing our Finance mailbox ensuring enquires are allocated and actioned in a prompt manner and in line with client, supplier, and business expectations. Contributing to continuous improvement programs as we support the ongoing development of the charity is always important and the ability to take on challenges and investigate different ways of working will be important.

Key Accountabilities

Client funding review and analysis:

Responsibility: Shared with Client Services team and mgmt.

  • Liaise with the Client Services team in the collection of client funding information, preparation of initial client funding budgets/quotes and entering required data into our CRM system.

  • Make bookings against client plans through the NDIS portal and ensure invoicing information is accurate for the Client Funds Accountant.

  • Complete ongoing reviews of clients spend against budgets and provide timely action items to InLife Coordinators, along with reporting on high risks clients to the Client Funds Coordinator and Head of Finance to minimize the number of bad debts.

  • Track and implement changes to NDIS legislation, especially focused on billing requirements.

Client support:

Responsibility: Shared with Client Services team and Operations team.

  • Assist with client purchases for housing including the creation of budgets, approval of reimbursements to InLife staff, reporting on annual expenditure and reviewing of agreed contracts for utilities.

  • Develop and implement value for money offerings for transport including sourcing vehicles, creation of budgets and execution of invoicing with the Client Funds Accountant

  • Complete monthly client reporting to agreed timelines along with house and grant acquittal accounting as required.

Administration and support

Responsibility: Shared

  • Provide guidance and support with the interpretation and application of InLife policies and procedures that relate to the finance team.

  • Timely management of accounts mailbox.

  • Contribute to monthly financial close including management of accounts reconciliations of client related accounts (Suspense, Client Prepayments, Clients Funds Held).

  • Provide input into continuous improvement for the broader finance team.

  • Support broader InLife projects as required.

To be successful you'll have

  • Enthusiasm and passion for supporting people with disabilities

  • Understanding and/or experience in budgeting and analysis

  • Basic understanding of bookkeeping, accounts receivable and payable functions

  • Understanding and/or experience in working through application (things like loans, submissions etc) and/or debt recovery processes to demonstrate your attention to detail.

  • Excellent customer service orientation, listening skills, written and oral communication skills.

  • Tech savvy with G Suite, MS office applications, Xero and a quick adopter of new software applications. And we expect you'll really love Excel.

  • Completed an undergraduate degree (or nearing completion) in accounting, finance or similar.

    Additional requirements
