Job Description

The Senior Administrative Assistant, Commercial Finance, International Therapeutics provides administrative support to Finance VP - International Therapeutics, Finance Director - IMCO and Finance Senior Director - Intercontinental. Responsibilities include administrative functions including managing calendars, arranging travel, processing expense reports, providing event planning support, preparing agendas and meeting materials and other similar tasks.

Responsibilities:

  • Maintains and manages calendars, including meeting and travel scheduling (domestic and international flights/lodging/ground transportation/meeting logistics); manages expense reporting

  • Coordinates/supports on- and off-site meeting logistics/events and department activities

  • Proactively identifies and resolves scheduling conflicts.

  • Works independently to ensure that the timely and organized administration support needs of the VP and the organization are effectively addressed.

  • Prepares a variety of correspondence, agendas, reports and other materials using word processing, spreadsheets, and database applications. Prepares presentations and other meeting materials as required.

  • Performs purchasing of goods and services as required, in compliance and following company purchasing procedures. May also require follow-up until received and make payment coordination.

  • Reviews and proofreads documents, records and forms for accuracy and completeness and in conformance to applicable rules and regulations. Input, modify and update data in systems and records as necessary.

  • Collects and compiles data and other information for inclusion in special and periodic reports.

Qualifications

Qualifications

  • Minimum 4 years of administrative assistant experience. High school diploma or equivalent.

  • Experience providing support to VP level or equivalent.

  • Anticipates and proactively addresses area needs demonstrating exceptional attention to detail; highly skilled in prioritization.

  • Excellent communication skills.

  • Intermediate to advanced knowledge of Microsoft Office Suite.

  • Well organized, detail oriented, analytical and excellent time management skills. Self-starter, learn quick and work independently.

  • Ability to interact with all levels of employees and maintain confidentiality.

  • The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range.
