Aston Carter Hospital Contracts Administrator in Miami, Florida

Description:

Administers and ensures the continuous contract lifecycle management in accordance with Health System policies and business and legal requirements. Serves as liaison between the Legal department and outside counsel, internal operational business units and leaders, and external contracting parties and consultants.

• Serves as administrator for contract management software system (MediTract) by supporting users with the contract lifecycle management, including monitoring contract workflows to ensure compliance with organizational policies, enrolling and onboarding new MediTract users and departments, updating system hierarchy for approvals and signatures following organizational personnel changes, and serving as a liaison between MediTract Help Desk and users.

• Responsible to determine appropriate contract types based on request and determines next steps in the contracting process (from inception through signature). Verifies organizational contracting party information and third-party information (e.g., correct corporate name).

• Assists and collaborates with Legal department in developing, drafting, reviewing, and amending a high volume of contracts and contract requests annually to ensure fulfillment of contract requirements, and terms and conditions are in accordance with organizational policies and business and legal requirements.

• Collaborates with Legal department attorneys in drafting and updating standard and template contracts, and contract clauses for various transaction types.

• Facilitates contracting process and works collaboratively with various stakeholders across different departments and entities including executive leadership, directors and managers, vendors and outside legal counsel/consultants. Supports Legal department and other stakeholders in negotiation of terms and changes in contracts (excluding employed physician contracts).

• In collaboration with Supply Chain, manages vendor contracts in contract management system, including, but not limited to; scanning contracts, setting user profiles, updating department and vendor information, and ensuring that all contracts are uploaded into system.

• Responds to day-to-day inquiries about contracts and contracting process from operational teams and departments across the organization in a timely manner.

• Prepares and analyzes reports involving all aspects of the contracting process, such as numbers and status of pending contracts, time periods per contracting process phase, and expired or auto-renewed contracts. Monitors and provides notice to operational teams of pending contract expirations to mitigate lapses in contracting dates.

• Facilitates the approval process of contracts from pre-contract through post signature and activation phase and ensures contract execution is in accordance with policies.

• Responsible for maintaining accuracy of supporting documentation for contracts and completing documents accurately.

• Processes requests for termination of contracts and drafts termination letters for attorney review.

• Develops and maintains contract status reports and maintains complete, accurate, and up to-date contract records as required.

• Establishes and maintains a professional relationship with Legal department members, and with internal stakeholders across the organization (e.g., clinical care areas, support services, administrative services)

Additional Skills & Qualifications:

Bachelor's Degree (OR) Associate’s degree and 5+ years of relevant work experience

• 3-5 years experience in contract administration/management, or related work experience

• Contract administration/management experience in healthcare organization preferred.

• Experience with legal concepts and terminology related to contracting process, and in using electronic contract

management application/software for the contract lifecycle process (from inception through signature).

• Ability to make independent judgements, to exercise authority within established limits, and to plan, organize and

prioritize own daily routine in order to complete work under deadlines and to manage multiple priorities in a fast-paced

environment.

• Ability to apply professional concepts and organizational policies and procedures to analyze situations and problems and

to solve or recommend solutions (as applicable) to resolve problems.

• Ability to perform in cross-functional business environment (including with in-person and remote teams), to identify

required improvement to established policies, and to communicate implementation procedures to others.

• Proficiency with Meditrac (or other electronic contract management application/software), PeopleSoft, and Microsoft

Office programs: MS Word, Excel, PowerPoint and Outlook.

• Excellent organizational and communication skills.

• Strong attention to detail.
