The University of Miami/UHealth Department of Dermatology has an exciting opportunity for a full-time Senior Manager, Business Operations to work in Miami, FL. The Senior Manager, Business Operations evaluates, administers, and manages all business and administrative matters including budget, operations, programs and personnel administration for the assigned department. This position also provides financial analysis and strategic planning as well as manages the budgetary controls in partnership with various levels of management.
CORE JOB FUNCTIONS
Manages, implements, coordinates, plans and evaluates the business operations for the department/division, which may include statistical, performance and managerial reporting, budget support, capital planning, and process improvement.
Develops and ensures adherence to the department’s annual budget, in accordance with University guidelines and policies. Participates in financial analysis and planning including monitoring and reporting on monthly budget variances and opportunities to improve performance.
Advances the strategic financial plan and makes recommendations to senior management on how to best execute the department’s plan.
Formulates department policies and guidelines to carry out the University and department mission.
Oversees the review, approval and reporting of all expenditures. Reviews and approves financial transactions.
Creates and manages support systems to ensure availability of cost effective supplies, equipment, and management information.
Monitors contractual obligations and ensures consistency with departmental budget, goals, and programmatic initiatives.
Evaluates existing internal controls and approval processes and makes recommendations on how to improve fiscal integrity and operational efficiency.
Implements department human resources actions, which may include hiring, terminations, salary etc. Recruits, trains and prepares performance reports for staff.
Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.
Department Specific Functions
Financial
Provide accurate and timely management and decision making information; highlighting improvement initiatives and action plans for assigned departments.
Participate and contribute on the design and development of business initiatives to include key performance indicators and benchmarks linking performance to strategy. Make recommendations in strategic long range and tactical planning by providing financial analyses and business evaluation reports and information.
Conduct department fiscal analysis by preparing and reviewing the monthly and quarterly financial reports, creating forecasts for each department and generating relevant commentaries of key variances to budget, highlighting risks and opportunities to achieving goals and impact upon operations.
Prepare detailed budgets and operational forecasts for all level of activities conducted by the departments while meeting University guidelines and deadlines.
Develop, prepare and present summarized monthly departmental performance report with key indicators (financial and non-financial) including reconciliations, faculty productivity reports, clinical and research activity analysis.
Develop financial metrics and monitor faculty performance to make recommendations regarding compensation plans and potential areas for increased revenue.
Contribute to the development of growth opportunities, studying economic trends, competitive analysis, market share and business case development including scenario planning
Work with department administrators and Chairs, Planning and Analysis to support the development and management of Chair packages, analyzing the impact of new recruits, acquisitions, etc.
Develop management and budgetary controls including forecasts and business plans to analyze and generate potential growth and profitability.
Assist departments with performing economic evaluation of new programs and capital equipment purchases by preparing prepare budgets, financial plans, financial analysis and business case evaluation highlighting value for money and affordability issues.
Ensure proper month end and financial year-end closing process necessitated from the activities highlighted above.
Social Media/Website
Develop and implement social media strategies to align with business goals and objectives.
Engage with followers, respond to comments and messages, and build relationships with online communities.
Coordinate with the marketing team to ensure brand consistency and support promotional campaigns.
Serve as the department's webmaster, responsible for the design, development, and maintenance of the website.
Regularly update website content to ensure it remains current, relevant, and engaging.
Event/Contracts/Development
Work with SAO and Director of Administrative Operations to lead contract negotiations with University vendors and partners to achieve optimal terms and conditions as required by the University bylaws.
Prepare and present negotiation strategies and recommendations to senior management.
Ensure all contracts adhere to legal and regulatory policies and procedures as required by the University.
Prepare and update yearly detailed endowment reports as requested by the University’s Development office

CORE QUALIFICATIONS
Bachelor’s degree in relevant field
Minimum 4 years of relevant experience
Ability to communicate effectively in both oral and written form.
Ability to maintain effective interpersonal relationships.
Ability to manage a budget and work within the constraints of that budget.
Ability to direct, manage, implement, and evaluate department operations.
Ability to effectively plan, delegate and/or supervise the work of others.
Proficiency in computer software (i.e., Microsoft Office)
Any relevant education, certifications and/or work experience may be considered.
