Your Specific Responsibilities :

This is a clerical position performing a variety of complex and technical clerical duties requiring independent decision-making responsibility for the Environmental Health and Engineering Division. The incumbent in this position is responsible for providing clerical support to all Environmental Health programs and serves as an interface with walk-in customers and telephone customers seeking Environmental Health services. Receives and logs sanitary nuisance complaints and assist program personnel and the public.

Answers, handles, and directs telephone calls for the Environmental Health Division. Acts as office receptionist and provides routine answers to the public of a non-technical nature. Routes all complaints and requests for services to the appropriate DOH personnel. Composes and sends routine correspondence via email of a non-technical nature. Emails and mails applications/permits/invoices as requested.

Accepts payments by mail, over the phone, and in person. Maintains collection log, deposit transfer record, invoices, and receipts. Maintains petty cash and accurate documentation. Provides clients with copy of receipts and operating permits as applicable.

Screen applications for completeness and duplication of accounts in EHD. Input information from DOH applications into EHD and complete all details required by the database. Process temporary event applications and issue temporary event permits. Follows-up on non-renewals or changes in status, closes old and adds new accounts as required, and checks for accuracy. Complete electronic filing for all applications and documentation received by e-mail, mail, or in-person.

Keys, verifies, and retrieves data from Environmental Health Database and local drives including inspections, service requests, and complaints performed by the Environmental Health Program of the Miami-Dade County Health Department. Maintain service request and complaint log up to date and provide copy to Environmental Manager. Receives and reads all incoming mail and screens items which can be handled personally and forwards the rest to a supervisor.

Attends meetings, training sessions and conferences relating to this function.

Performs other related duties as required.

Required Knowledge, Skills, and Abilities:

  • Knowledge of Microsoft office suites, ex. Microsoft office word, excel, PowerPoint, etc.

  • Knowledge of correct spelling, punctuation, and grammar.

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.

  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

  • Knowledge of electronic equipment, and computer hardware and software, including applications and programming.

  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

  • Skills in Reading Comprehension - Understanding written sentences and paragraphs in work related documents.

  • Skills in Critical Thinking — Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.

  • Ability to read and understand information and ideas presented in writing.

  • Ability to listen to and understand information and ideas presented through spoken words and sentences.

  • Ability to alphabetize and file. Ability to communicate orally and in writing.

  • Ability to establish and maintain effective working relationships with others.

  • Ability to type.

    Qualifications:

    Minimum –

    Customer service, experience handling confidential information.

    Preferred - Incumbent in this position is preferred to be bilingual in English and Spanish.
