Primary Function/General Purpose of Position

The Clinical Research Financial and Billing Coordinator is responsible for the timely operations and processes for billing, invoicing, and other financial actions that result from patients enrolled in clinical trials. This role is responsible for maintaining the operation and quality assurance of financial activities including but not limited to research billing compliance, financial reimbursement, and analysis, and ensuring implementation and utilization of the Clinical Trial Management System as related to finance and study budgets. This person will work under the supervision of the Clinical Research Manager in identifying, establishing, implementing, and monitoring financial-related processes that contribute to the successful operations of Bon Secours research. This position is important to the efficient, consistent, and timely set-up and close of new research initiatives.

Essential Job Functions

  • Implement action plans designed to improve research operations involving financial processes, including, but not limited to, research billing compliance.

  • Liaison between study sponsors and the BSMH Office of Research finance and billing team in collaboration of all charges, billing, invoice, and payment reconciliation.

  • Perform first tier billing review of all clinical charges for all research patients enrolled in a clinical trial to initiate appropriate revenue recognition. Ensures clinical charge reconciliation for all patient visits, procedures, and tests and validates compliant billing flow to research study or third-party payors. Verifies month-end revenue transfer to clinical departments from study sponsor budgets.

  • Coordinates the preparation and management of all study budgets with the Research Manager and ResearchGenesis℠ process for initiating all clinical research studies within Bon Secours research.

  • Reconcile Federal and Non-Federal funds, as applicable. Prepares invoices for all pass through and milestone costs for each study, as applicable.

  • Responsible for study builds in Clinical Trials Management System (CTMS) as related to finance and budgets. Ensures accuracy between CTMS and study budget. Utilizes CTMS for revenue and expense tracking of study finances. Works collaboratively with Director of Clinical Research Finance and Billing.

  • Communicates with NCORP and other similar sponsors, reconciling monthly enrollment and audits funding based on OPEN. Performs billing audits with research manager to ensure accurate and quality invoicing

Required Qualifications:

  • Associate’s Degree or an experienced Study Coordinator or Research Nurse with financial management experience.

  • Understanding of finance, accounting, and health care billing. Basic knowledge of medical terminology and familiarity in working in a medical office environment.

  • Oncology and Clinical Research financial oversight experience.

  • Understanding of Medicare billing rules and functional knowledge of essential National Coverage Decisions and the new CMS Clinical Research Policy.

  • Working knowledge of study accounting, billing and/or coding.

  • Knowledge of clinical research administration, Good Clinical Practices, and federal grants

  • Strong background in contracts and budgets

Preferred Qualifications:
