The Division of Finance and Administrative Affairs delivers essential business services that provide a foundation for UWM’s student success, research excellence, community engagement, climate and culture, and visibility and image.
The departments in Finance & Administrative Affairs provide a wide array of services to steward and facilitate the management of the university’s primary resources: human capital, finances, facilities, and information technology. FAA staff perform the accounting functions, plan for building construction and remodeling, provide technology infrastructure and enterprise IT services and resources, maintain healthy and safe research environments, provide security and protective services, clean and maintain the campus buildings and grounds, ensure fiscal integrity of campus financial operations, and provide legal advice and representation.
The Division of Student Affairs employs approximately 382 professional staff members, working together in over 20 unique departments or units to serve all of UWM’s students. Additionally, vital, are our 1,200+ student employment positions. These student employment experiences provide meaningful learning experiences for students, in some cases setting them on a course for future careers.

Job Summary
This position provides administrative support to the divisional offices for Finance & Administrative Affairs and Student Affairs, reporting dually to the two Vice Chancellors. This position performs paraprofessional work of considerable difficulty and independence.
The University Executive Staff Assistant is responsible for managing all of the program support assistance needs for the divisional offices, including managing appointment calendars, which are complicated and change frequently. This position also provides assistance to the divisional offices, including arranging for and setting up the details of division-wide meetings and special events, and making occasional travel arrangements, as well as performing other duties which support the mission of divisions. The University Executive Staff Assistant is responsible for managing the flow of information, often sensitive and confidential, through the two offices, evaluating correspondence and requests, communicating on behalf of the Vice Chancellors, and escalating important and urgent matters appropriately. Work is performed in a busy office environment, where priorities quickly change and interruptions are common. Depending on volume of work, the University Executive Staff Assistant may be asked to also assist one or more direct reports to the Vice Chancellors.
Minimum Qualifications
A minimum two years of experience serving as the first point of contact in an administrative office or department
Experience using common business productivity software and applications (e.g., word processing, spreadsheets, databases, presentation software, electronic calendars, etc.)
Organizational skills, as evidenced by experience organizing the work of others (e.g., organizing and prioritizing multiple or complex projects, managing multiple schedules and deadlines, etc.
Preferred Qualifications
Experience functioning independently in the absence of higher authority
Excellent verbal and written communication skills, including attention to detail in written work product and friendly, outgoing and welcoming demeanor on behalf of Leadership
Evidence of strong problem-solving skills and customer service skills
Evidence of an ability to handle sensitive and confidential matters with discretion
Evidence of an ability to maintain attention to detail, organization and accuracy when faced with multiple projects and conflicting deadlines
Experience using WordPress
Target Salary Range $28.00-$30.00 per hour (Final offer based on experience related to this position.)
