Our Division's administrative team includes the Division Administrator, the Administrative Associate, and 2 x Program/Project Specialists. This position's primary responsibilities would be to lead the day-to-day administrative operations of the Transplant Division to ensure excellent service in furthering the work and goals of the Division as well as to develop the skills and experiences of the Division's administrative team. Don't hesitate to reach out to Stephanie Taylor to learn more about what this job entails: taylo574@umn.edu The Administrative Associate 1 in the Division of Transplantation is supervised by the Division Administrator and is responsible for: * Providing direct support to faculty of the division (30%). Schedule meetings and manage academic and clinical calendars. Anticipate and resolve conflicts as they arise, using discretion to make decisions. Organize speaking engagements, conference attendance and other travel for faculty members. Process timely reimbursements for dues, fees, and travel as well as monitor and track finances. Collaborate with the MHealth Fairview transplant service line and others across the matrixed MHealth enterprise to assist in coordinating patient care, scheduling surgical procedures, etc. Maintain academic and research documents such as Curriculum Vitae, NIH Biosketches, NIH other support documents, etc. Format and submit manuscripts and abstracts to academic journals as well as conferences. * Leading the day-to-day administrative operations of the Division (30%) Functions as the subject matter expert for administrative staff on University, Medical School and division-specific policies and procedures as well as use of applications. Delegate tasks evenly, respectfully, and thoughtfully across the division's administrative group. First point of contact for facility and technology needs for the Division. Assist in leading special events & conferences organized by the Division. * Evaluating and maintaining administrative processes & procedures; making recommendations to the Division Administrator on operational improvements & opportunities for efficiency (20%) Provide recommendations to the Division Administrator for improving administrative workflow and efficiency. Update, organize and maintain the onboarding and operational documents for administrative staff. In consultation with the Division Administrator, create new standard operating procedures and/or workflows as needed. * Ensuring compliance on relevant University policies (10%) Assist in educating Division faculty, staff and researchers on University, Medical School and division-specific policies, ensuring compliance by all in the day-to-day work. * Leading the training, onboarding, and offboarding of administrative staff and other staff or faculty as needed (10%) Lead the onboarding, offboarding and training of administrative staff in the division. In conjunction with the Division Administrator, assist with the onboarding and offboarding of faculty and research staff. Participate in and encourage the professional development of administrative staff via training, coaching, seeking out professional development opportunities, etc. * This position will help to back up the other administrative staff in the division and ensure that there is administrative coverage. Qualifications Required Qualifications: * BA/BS or a combination of related education and work experience to equal four years. * Experience providing direct administrative support to high level professionals, leaders, or executives in a medical or other highly specialized setting. Preferred Qualifications: * Prior UMN Medical School work experience with knowledge of University policies, procedures and applications/software. * Excellent interpersonal and communication skills with an ability to work collaboratively with diverse audiences & other team members they are leading. * Demonstrated history of taking on increasing degrees of responsibility over time. * Demonstrated experience handling a wide range of administrative related tasks, including events, with a commitment to professionalism and confidentiality. * Ability to work independently with minimal direction from a supervisor. * Ability to analyze information and identify solutions, under changing conditions. * Experience working with patients and in an electronic health record environment.
