Overview

The Manager, IT PMO, is responsible for leading our IT PMO team(s), managing day-to-day activities within the PMO, oversight of program and project management staff, driving continuous improvement and optimization on policies, processes, and procedures, and collaborating with other department leaders to effectively develop and deliver projects that meet Fairview commitments and support goal achievement. To be successful in this role, you should demonstrate strong leadership, problem-solving, and communication skills, be well organized, and able to work under pressure.

Responsibilities Job Description

Job Expectations:

Team Leadership: Provide direction and day to day leadership to a team of employees. Develop and maintain high performing and engaged employees through effective hiring, coaching, and talent management processes. Foster a collaborative and success-oriented environment where team members are empowered and accountable.

Demand Management: Influence and implement a demand management strategy to effectively forecast, plan and manage the demand based on business need, priority, scope, cost, and skills. Prioritize requests to ensure highest value work is delivered first. Develop sourcing strategies to fill identified skill gaps, evaluating internal versus external resources when considering cost, expertise, and project timeline.

High Quality Delivery: Contribute to fulfillment of organizational strategies and objectives by overseeing delivery of multiple technology projects, ensuring solutions meet budget and deadline commitments and are high quality, cost effective, and implemented in a sustainable manner. Continuously work with the team to assess and improve the health of projects.

Contribute to project planning discussions and development of project cost-benefit analysis and value assessment. Identify technology or business areas that are key contributors or have dependencies on project outcome. Manage escalated communications, decisions, risks and issues to IT and business leaders in a timely manner so overall project schedule is not impacted. Perform project financial reviews to ensure PMs are managing financials in accordance with sound financial principles. As necessary, manage projects or programs or their budgets. Report out on project financials, team goals, and metrics.

Agile Transformation: Be an active leader in our ongoing agile transformation, supporting the concepts, tools, and mindset of agile delivery. Evangelize agile and promote organizational understanding of agile roles. Lead and coach teams and individuals to transition from waterfall to Agile.

Best Practices and Continuous Improvement: Incorporate industry best practices for services provided to deliver operational excellence. Ensure compliance with IT PMO standards, practices, and methodologies. Actively champion and contribute to the continuous improvement of project management best practices, using innovative ideas to increase effectiveness of the overall IT PMO.

Performance Measurement: Manage results through metric driven goals and objectives. Define, track and measure overall department performance and metrics, identifying opportunities to gain efficiencies. Complete and distribute reports, models, status updates, statistics, etc., to leadership as required. Provide proper escalation to leadership for issues as necessary. Measure client service levels through performance scorecards and feedback sessions with key business partners.

Communication and Change Management: Facilitate effective communication between customers, support, and delivery teams. Support change management needs of teams to ensure user readiness at time of release. Monitor external and internal customer feedback to measure performance and identify best practices to drive process improvement. Proactively lead through organizational change to help employees’ transition from current state to future state and to achieve the required business results. Lead by example and model positive behaviors.

Financial Planning: Participate in annual budget and planning process for assigned organization, technical assets, and related projects. Participate in the prioritization and planning of technology solutions to meet and maximize the annual investment budget. Collaborate with teams across the business and with vendor partners to estimate work effort and associated costs effectively and accurately for deliverables. Manage to the yearly department budget.

Vendor Management: Responsible for managing interactions with suppliers of hardware, software, and services. Includes identifying potential solutions and problem management, as well as assisting with negotiations and ownership of contracts.

Qualifications

Required Qualifications:

Education

  • Bachelor’s degree or an equivalent combination of experience, education, and training

Experience

  • 10+ years of IT project management experience, leading a variety of projects varying in size, budget, and complexity

  • Experience delivering results in an hybrid or agile delivery environment, either directly or indirectly

  • Leadership experience with increasing levels of accountability

  • Strong leadership, coaching, and mentoring skills

  • Excellent oral, written, and interpersonal communication and presentation skills at multiple levels of an organization

  • Strong customer orientation and responsiveness

  • End to end understanding of full IT and software development lifecycle

  • Ability to work with a range of technical staff, operational partners, and architects to develop joint solutions

  • Problem solving facilitation groups with varying needs and priorities. Must be able to find creative ways to influence others to accomplish objectives in a timely manner

  • Proven ability to multi-task and prioritize work, demonstrating flexibility to adjust to multiple demands, shifting priorities, ambiguity, and rapid change

  • Excellent analytical skills

Preferred Qualifications:

Education

  • Advanced Degree preferred

Experience

  • Experience within the Healthcare Industry

  • Experience in a large, complex organization

License/Certification/Registration

  • PMP Certification

  • CSM or equivalent agile certification
