Position Summary The Payroll and Sales Tax Associate is responsible for the timeliness and the accuracy of payroll processing, compliance with internal controls, and analyzing payroll results. Performs all accounting procedures related to payroll and file all the monthly and quarterly sales tax returns. This position requires strong attention to detail and accuracy, ability to analyze, troubleshoot, problem-solving, and communicate key findings. We are looking for an exceptional team player who has a strong understanding of payroll and can work independently. This position will partner with the Accounting and People Organization teams. Primary Responsibilities Payroll Processing of multi-company/multi-state US bi-weekly payrolls for approximately 800+ employees and Canadian bi-weekly payroll for approximately 50 employees. Review, process, and audit timekeeping records for compliance with established standards. Maintain employee data including employee changes, additional pay, direct deposit, employee tax information, deductions, and garnishments, via manual entry and system uploads. Enter any adjustments to payroll, such as garnishments, deductions, wage assignments, bonus checks, advances, etc. Prepare and maintain related payroll files, records, and reports to meet record retention requirements. Generate, audit, review and run ad-hoc audit and pre-established payroll reports and queries. Create new reports as needed. Provide payroll reporting for financial reporting. Work with Finance team for payroll related funding and account reconciliations. Perform accounting duties related to payroll functions to include making journal entries for payroll and accruals, analyzing general ledger payroll accounts, reconciling payroll bank accounts, and preparing ACH entries. Reconcile payroll and human resources relates items monthly to the general ledger. Analyze, audit, and reconcile payroll output to ensure accuracy and vendor calculations. Identify, present solutions, and implement process or system improvements according to organization goals, policies and procedures, and new laws and regulations. Respond to payroll inquires in a timely manner and raise payroll or compliance issues to management. Interprets pay policies to ensure proper processing, payment, and reporting. Research and verify compliance with payroll requirements and legislative changes. Responsible for payroll audits, internal and external agencies. Prepare and maintain payroll processes and procedures. Support Benefits Administration, employee 401K deferrals/loan maintenance, FSA and HSA deduction/goal maintenance, and Leave of Absence events. Backup other department members as needed. Participate in system maintenance and testing. Sales Tax & Vendor File and pay monthly and quarterly sales tax returns. Reconcile and ensure tax payments are posted. Manage and amend tax returns as needed. Respond to tax inquires in a timely manner as needed. Research and resolve tax issues as needed. Review and approve all vendor items including blocking payments, banking changes, adding new company, etc. Setup new vendors in accounting system as needed. Perform other duties as may be assigned or required by management. Qualifications Experience: 0-2 years of payroll and/or accounting experience or a combination of experience and education. Education: Associate degree in Business, Accounting or Finance is required. Bachelor's degree in these fields is an asset, but not required. Certifications: CPP certification is an asset or desire to acquire it. Position-specific Qualifications: Excellent oral and written communication skills, organization, prioritization, analytical, process flows and problem-solving skills; working knowledge of applicable wage & hour laws, garnishments, and payroll tax regulations; experience processing multi-state payrolls in a mid-size or large organization; Canadian payroll processing experience preferred; strong ability to work independently; able to work with confidential information and maintain confidentiality; Computer/Technological: Professional competence with Microsoft Office (Excel, Word, PowerPoint, Outlook); ADP Workforce Now & TAA, SAP and CRM knowledge is an asset. Language: Professional written and spoken fluency in English required. Schedule: Generally Monday to Friday, full time; be on-call on some weekends (if required). General Working Conditions: Be able to usually work in an office environment; flexible (hybrid) work arrangements available. Travel: General travel requirements. Physical Demands: Regular office work environment with low to moderate noise exposure.
